About The Position

Oak Essentials is seeking a Product Operations & Logistics Manager to keep products moving from formula testing through delivery to the warehouse. The ideal candidate is highly organized, comfortable owning vendor and carrier relationships end-to-end, and able to run recurring, deadline-driven processes autonomously. The position supports 3PL warehouse operations, logistics, formula testing, project timelines, and product development and operations documentation.

Requirements

  • 1–3 years of experience in operations, logistics, supply chain, or product development support; beauty/CPG experience is strongly preferred.
  • Hands-on experience working with a 3PL or warehouse partner and coordinating LTL, FTL, and parcel freight.
  • Working proficiency in Monday.com or a similar project management tool, SharePoint, and Microsoft Office, particularly Excel.
  • Excellent written communication for vendor-, carrier-, and partner-facing correspondence.
  • Strong organizational skills and demonstrated ability to manage multiple deadline-driven workstreams simultaneously.
  • High attention to detail, particularly with inventory records, shipping documents, and testing files.

Nice To Haves

  • Familiarity with NetSuite or another ERP/inventory management system.
  • Experience with retailer routing guides, vendor compliance requirements, and EDI/ASN processes.
  • Experience supporting a contract manufacturer or co-pack relationship.
  • Exposure to cosmetic safety or stability testing workflows.
  • Beauty/CPG experience.

Responsibilities

  • Serve as the primary day-to-day contact for the 3PL partner and resolve receiving, storage, pick/pack, and fulfillment issues.
  • Monitor inventory accuracy by coordinating cycle counts, reconciling 3PL inventory against NetSuite, and resolving discrepancies.
  • Track 3PL performance against service levels and report trends and recurring issues.
  • Review and reconcile 3PL invoices, flagging billing errors and unexpected charges.
  • Manage component and finished-goods disposal/write-off paperwork and cross-vendor transfer records with Operations.
  • Schedule and track inbound freight from contract manufacturers and component suppliers to the 3PL, including PO and ASN communication.
  • Coordinate outbound retailer and wholesale shipments, routing requests, and compliance with retailer shipping and routing guides.
  • Source and compare freight quotes; book LTL, FTL, and parcel shipments.
  • Maintain shipping documentation, including BOLs, packing lists, and proof of delivery, and manage freight claims for damaged or lost goods.
  • Coordinate product, sample, and MOS (Master Order Specification) send-outs to vendors and key partners.
  • Request quotes and schedule testing with the external safety testing facility for new and reformulated products.
  • Track testing status against project timelines and keep NPD informed of results and delays affecting launch dates.
  • Manage lab sample requests and ship samples to testing facilities and internal teams.
  • Maintain the file of record for test quotes, results, and submissions with the external safety testing facility.
  • Support innovation testing by managing sample distribution and compiling usage and feedback results.
  • Own Monday.com boards for NPD, reformulation, and operations projects, keeping timelines, owners, statuses, and dependencies current.
  • Coordinate PKO calendar invites and cross-functional milestone meetings; capture and follow up on action items.
  • Flag timeline risks, such as testing delays, late freight, or component shortages, and escalate them to the appropriate owner.
  • Open and track design job requests in Monday.com for the creative team.
  • Own the F&A quoting process with key vendors, including fill weight verification requests.
  • Order competitive product and packaging samples for benchmarking.
  • Assist with BOM-related documentation, NCR documentation, and F&A specification sheet upkeep as volume requires.
  • Organize and file documentation in SharePoint, maintaining a clean, current, audit-ready structure.
