About The Position

This position serves as the administrative staff Procurement Specialist and Immersion Coordinator for the CU PT hybrid pathway at UCCS. The role includes managing procurement processes and financial transactions, coordinating immersion experiences and logistics, and supporting program operations through data management and communications. This position works in collaboration with personnel at the University of Colorado Colorado Springs (UCCS) campus and at the Anschutz Medical Campus (AMC). Requirements

  • Bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution and 2 years of professional experience in administrative operations, procurement, program coordination, or a related field involving financial processes, contract management, and stakeholder communication.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Demonstrate accuracy in all areas; able to record and report effectively
  • Communicate information with discretion of confidentiality
  • Ability to adjust quickly to shifting demands while retaining high-quality work

Nice To Haves

  • Experience working in a higher education or academic health setting, preferably within a clinical or hybrid program environment.
  • Demonstrated experience with procurement processes, contract management, and financial tracking within a large or complex organization.
  • Proficiency with university systems and tools such as Formstack, Smartsheet, Concur, or similar workflow and reporting platforms.
  • Experience coordinating events, including logistics, vendor management, and on-site execution.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines simultaneously.

Responsibilities

  • Provide comprehensive communication and coordination with students, faculty, staff, and external partners to support Hybrid PT Pathway operations and initiatives.
  • Serve as a primary operational contact for program-related inquiries, ensuring timely communication, issue resolution, and dissemination of program information.
  • Manage and track program-related expenditures, including monitoring budgets, processing payments, reconciling transactions, and ensuring compliance with university financial policies and procedures.
  • Coordinate complex travel arrangements and reimbursement processes for faculty, staff, students, and external partners in accordance with university and state travel regulations.
  • Oversee procurement processes, including sourcing supplies and equipment, coordinating with the Procurement Services Center, preparing purchasing documentation, and routing contracts for approval.
  • Administer and monitor contracts and vendor relationships, including linen services and other operational agreements, ensuring accurate invoicing, inventory tracking, and service compliance.
  • Assist with operational logistics, including facilities coordination, space scheduling, equipment inventory management, and supervision of student employees supporting lab and storage functions.
  • Coordinate operational support for hybrid immersions, laboratory activities, and other program functions to ensure efficient and effective delivery of services.
  • Support planning and execution of Hybrid PT Pathway events and activities, including coordination with campus services, catering, logistics, room scheduling, and on-site support.
  • Generate, maintain, and analyze scheduled and ad hoc reports to support program operations, strategic planning, accreditation, and leadership decision-making.
