About The Position

Richmond Behavioral Health has an exciting new opportunity for a highly skilled and professional Administrative Coordinator to join our Procurement Team. The selected individual provides advanced administrative support to programs and divisions. Responsibilities include coordinating schedules, managing documentation workflows, preparing reports, and supporting executive functions. Requires strong organizational skills, discretion, and the ability to work independently across multiple priorities.

Requirements

  • High School Diploma or equivalent (G.E.D.)
  • 3–5 years of experience in administrative coordination or office management
  • Proficiency in Microsoft Office Suite and electronic record systems OR an equivalent combination of education, experience, knowledge, skills, and abilities that demonstrates the capacity to perform the essential functions of the position, as permitted by applicable regulatory standards.
  • Possession of a valid Virginia driver’s license and a satisfactory driving record in accordance with agency policy.
  • eVA Virginia Procurement Portal Experience Required
  • Ability to obtain Virginia Contracting Associate (VCA) certification within 12 months of hire date.
  • Knowledge of business administration, office systems, and basic accounting principles
  • Skill in organizing complex schedules and coordinating across teams
  • Skill in written and verbal communication for diverse audiences
  • Ability to manage multiple priorities and meet deadlines
  • Ability to train and support peers in administrative processes
  • Ability to identify and resolve operational issues independently

Nice To Haves

  • Associate’s degree with coursework in business administration, or related field
  • Considerable experience in program and administrative support, customer service, office assistance, bookkeeping, business management, or equivalent combination of education and experience.
  • Experience supporting executive-level staff or managing program logistics
  • Familiarity with behavioral health or human services environments

Responsibilities

  • Coordinate meetings, trainings, and program logistics across departments
  • Maintain and update electronic records and documentation systems
  • Prepare reports, spreadsheets, and correspondence for internal and external stakeholders
  • Monitor and reconcile invoices, reimbursements, and budget-related documentation
  • Provide administrative support to leadership, including calendar management and meeting preparation
  • Respond to inquiries and facilitate communication between teams
  • Ensure compliance with documentation standards and reporting timelines
  • Assist with onboarding and training of administrative staff
  • Other duties as assigned
