About The Position

The Procurement Coordinator is responsible for researching, ordering, receiving, and managing inventory of parts that support the efficient operation and maintenance of plant equipment, systems, and machinery. Working under the supervision of the Maintenance Manager, this role ensures that parts are available when needed, vendor relationships are maintained, and purchasing processes are accurately documented, all while supporting food safety, quality, and safety standards.

Requirements

  • Experience in procurement, purchasing, or parts coordination, with a minimum of 1 year in a similar purchasing role or 1–2 years in a maintenance environment, or equivalent formal training.
  • Ability to maintain appropriate parts inventory levels and manage stock effectively.
  • Proficiency using computer databases, ERP systems, or MRP systems to track and process purchases, inventory, and orders.
  • Familiarity with purchase order processing, order entry, order management, and pricing.
  • Strong vendor management skills, including negotiation and relationship-building.
  • Basic data analysis and reporting skills related to purchasing, inventory, and supply chain activities.
  • Ability to work safely and efficiently, following all safety procedures and using required safety equipment.
  • Strong organizational and detail-oriented skills to manage multiple orders, parts, and records.
  • Excellent written and verbal communication skills.
  • Basic computational and math skills for pricing, quantities, and inventory calculations.
  • Demonstrated good judgment when carrying out assigned duties and making purchasing decisions.

Nice To Haves

  • Experience with preventative maintenance (PM) programs is a plus.
  • Background in supply chain, buyer purchasing, or project management is beneficial.
  • Experience with ERP systems, MRP tools, SAP, or similar platforms is advantageous.
  • Skills in data entry and administration related to purchasing and inventory are helpful.
  • A high school diploma or General Education Degree (GED) is preferred.
  • Willingness to ask for assistance when processes are unclear and to learn new systems and procedures.

Responsibilities

  • Research parts, pricing, and availability to support inventory replenishment and maintenance needs.
  • Establish and maintain accounts with vendors and build positive, long-term vendor relationships.
  • Order, receive, store, label, and organize parts inventories to ensure efficient access and control.
  • Process electronic purchase orders, including submission, tracking, and recording in applicable systems.
  • Work with minimal supervision in all key procurement and inventory management activities.
  • Report daily work orders and prepare activity reports to document purchasing and inventory actions.
  • Determine parts disposition as needed, including returns, repairs, and replacements.
  • Ensure all work is completed accurately, efficiently, and in a timely manner.
  • Follow Good Manufacturing Practices (GMP) in all tasks related to parts and inventory.
  • Follow Hazard Analysis Critical Control Point (HACCP) procedures to support food safety.
  • Care for and maintain company tools used in purchasing and inventory activities.
  • Comply with all safety rules and working procedures, including proper use of safety equipment.
  • Collaborate effectively with co-workers, management, customers, vendors, and other employees to maintain a harmonious and productive work environment.
  • Maintain a positive attitude and contribute to a quality-focused work culture.
  • Demonstrate excellent regular full-time attendance in support of operational objectives.
  • Use initiative and sound judgment in making decisions that align with the company’s best interests.
  • Support and enforce SQF / QA, GMP, safety policies and procedures, and production needs.
  • Take responsibility for food safety and quality as part of the role’s core duties.
  • Perform other related duties as assigned to support maintenance, procurement, and plant operations.
