About The Position

The Practice Manager II is responsible for the day-to-day operations of EvergreenHealth’s General Surgery Care Department. This management role includes physician and staff management, budget development and management, practice development, patient scheduling, patient flow, supply and vendor management, complaint resolution and patient experience. In partnership with the General Surgery Medical Director, responsible for the service line’s performance aligned with EvergreenHealth’s core pillars – clinical outcomes & absolute safety, customer engagement, people & process, growth & access, and financial stewardship.

Requirements

  • Bachelor’s degree in healthcare administration, business, or clinical area or equivalent combination of education and experience
  • 4 years of management experience in a health care setting, preferably in a medical clinic.
  • Proficiency in reading, writing, comprehending and speaking English as required for business necessity.
  • Accountability for HIPAA privacy and security standards within the department or assigned nursing unit.
  • Must possess basic skills to use Microsoft Office, specialized software and electronic office equipment.
  • Adheres to organizational patient safety standards relevant to the department or assigned nursing unit.
  • Demonstrated knowledge and experience in working with all ages.
  • Demonstrates ability to effectively motivate staff.

Responsibilities

  • Achieves budgeted expenses and revenue on a monthly and annual basis for each clinic.
  • On an annual basis, develops revenue and expense projections for multiple departments and capital budgets within EvergreenHealth guidelines for each clinic.
  • Ensures multiple offices and personnel follow EvergreenHealth policies.
  • Ensures operation is in regulatory compliance with all governing agencies or bodies (OSHA, J C, Medicare, HIPAA etc.).
  • Responsible for the timeliness, accuracy, and security of patient medical records.
  • Responsible for ensuring staff are trained in proper PMSI use and newly implemented EMR processes and procedures.
  • Works in collaboration for the development and promotion of a continuous quality improvement culture.
  • Follows through on projects from design through completion, learning and next steps, in conjunction with the medical director(s), department leadership, staff, and others as appropriate.
  • Responsible for CQI indicator monitoring, data collection and reporting.
  • Teams with physicians to ensure multiple clinics are operating at peak efficiency.
  • Coordinates with primary care and other specialty managers to ensure a seamless referral process and maximize system integrity.
  • Monitors and when necessary, develops improvement plans to increase patient satisfaction for multiple clinics.
  • Provides oversight and initiates strategies and goals to ensure an effective and efficient revenue cycle.
  • Monitors labor productivity reports against the targets using the Premier OA system and is accountable for clinic targets and standard key performance indicators set through the annual organizational budget & performance target settings for multiple clinics.
  • In coordination with division leadership and EvergreenHealth Strategic Priorities, develops growth strategies for multiple specialties and clinics.
  • Performs other duties as assigned.
  • Oversees recruitment, orientation and training of clinic staff and collaborates with the Medical Director for midlevel practitioners and physicians.
  • Completes annual performance reviews for all staff ensuring compliance with chart documentation timeliness and accuracy and EvergreenHealth policies and EHPC policies/procedures/protocols/process flows.
  • Assists Clinic Supervising Provider (CSP) with annual performance reviews for midlevel practitioners and physicians.
  • Responsible for counseling employees and when necessary initiating corrective action regarding performance or behavior issues in accordance with HR policies.
  • Works closely with the CSP and the CSP Medical Director with regards to issues involving physicians and midlevel practitioners.
  • Ensures the availability of supplies and materials necessary for the delivery of services.
  • Responsible for employee annual events training.
  • Coordinates clinical license and certification processing and renewals.
  • Works with Medical Staff Office regarding credentialing for midlevel practitioners and physicians.
  • Responsible for always maintaining safe and adequate staff levels to perform quality patient care.
  • Covers shift in various areas of operations when necessary.
  • Provides day-to-day oversight of multiple facilities.
  • Ensures patient and staff safety standards are met.
  • Coordinates repairs and maintenance with EH plant operations personnel, landlord or other party.
  • Responsible for patient complaint investigation.
  • Coordinates resolution with appropriate organizational resources.
  • Actively participates on assigned committees and workgroups.
  • Shares information from committees to EHPC Leadership and provides a link to the overall EH Marketing/Community relations activities.
  • Works collaboratively as a member of the leadership team to support standard workflows and processes.
  • Refines staffing to maximize physician productivity and decrease costs.
  • Ensures completion of monthly QC checks for multiple clinics.
  • Prepares weekly reports detailing status of multiple clinics.
  • Accountable for patient satisfaction, staff satisfaction and clinic performance.
