This includes primary care, specialty care, behavioral and mental health, urgent care, outpatient surgery, endoscopy, imaging, cardiac testing, and infusion across Massachusetts, New Hampshire, and Maine. Wentworth Health Partners, an affiliate of Wentworth-Douglass Hospital and a member of Mass General Brigham Medical Group, provides comprehensive surgical care through its Seacoast General Surgery practice located at 789 Central Avenue in Dover, NH. This practice offers elective, outpatient, and emergency surgical services, with board-certified surgeons coordinating care with other physicians and specialists. The Clinic/Practice Assistant role is a full-time, 40-hour position, Monday through Friday from 8:30am-5:00pm, located onsite. Clinic/Practice Assistants are integral to the operations of community-based physician practices, providing administrative support, serving as gatekeepers, and ensuring a high-quality patient experience. This role is suitable for individuals seeking to gain healthcare experience or proven healthcare professionals looking for a new challenge. Employees may be asked to float to other departments within the WHP system for cross-coverage during staffing shortages or other extenuating circumstances.

Requirements

  • High School Diploma or Equivalent required
  • 2-3 years office experience required
  • Proficiency with all Office Suite
  • Knowledge of office operations and standards
  • Understanding of office procedures including filing, copying, scanning, printing and faxing
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate
  • Communicating effectively in writing as appropriate for the needs of the audience
  • Talking to others to convey information effectively
  • Understanding written sentences and paragraphs in work related documents
  • Ability to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters)
  • Ability to take complete and accurate messages
  • Managing one's own time and the time of others
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] - preferred
  • 2–4 years of experience in healthcare or customer service—ideally in a medical office setting
  • Familiarity with medical terminology
  • Strong computer skills

  • Feels confident working in a busy outpatient clinic

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • May be required to accept co-payments.
  • Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Act as "Super User" for scheduling, registration and billing systems.
  • Provide assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Float to other departments in the WHP system when appropriate and needed during times of staffing shortages/other extenuating circumstances for cross-coverage purposes and to ensure adequate coverage and support.
