About The Position

The Service Dispatch Coordinator supports the daily operations of the Power Systems Service Department by coordinating technician scheduling, maintaining work orders, and assisting customers and internal teams. This position works under the direction of the assigned Branch Manager to ensure jobs are scheduled efficiently, paperwork is accurate, and customers receive timely communication and quality service.

Requirements

  • High school diploma or equivalent.
  • 5 years of experience in a dealership service department.
  • Demonstrated experience coordinating field service activities, dispatching, or managing daily service operations.
  • Strong organizational, communication, and decision-making skills.
  • Ability to prioritize in a fast-paced, customer-focused environment.
  • Proficiency with Microsoft Office and service management/dispatch systems.
  • Valid driver’s license.

Nice To Haves

  • Direct experience in the power rental or power generation industry (generators, compressors, HVAC, or related equipment)
  • Experience managing or supporting a rental or service fleet, including equipment readiness, maintenance scheduling, and asset utilization.
  • Working knowledge of fleet logistics, transportation coordination, and field service best practices.
  • Proven ability to make sound operational decisions with limited reporting or incomplete data.
  • Practical, hands-on industry knowledge and field-based judgment (“tribal knowledge”) to anticipate service needs, allocate resources, and solve problems proactively.
  • Safety training or certifications.
  • Additional technical, business, or leadership training.

Responsibilities

  • Adjust schedules as needed to meet customer demands and ensure efficient use of labor and resources.
  • Communicate with technicians and customers to provide job details, updates, and changes.
  • Track job progress and completion, ensuring service records are updated in the system.
  • Open, update, and review work orders in the computer system.
  • Review work orders for accuracy before closing and make necessary adjustments.
  • Review daily timecards and labor entries to ensure time is applied to the correct job segment.
  • Provide input to improve department procedures when appropriate.
  • Assist walk-in and phone-in customers by taking service requests, answering questions, and coordinating solutions.
  • Maintain positive customer relations through prompt, courteous, and professional communication.
  • Resolve routine customer concerns and escalate issues to the Branch Manager when necessary.
  • Help maintain the service facility, yard, and tools in a clean, safe, and organized condition.
  • Keep current inventory lists of service equipment and tooling.
  • Follow established reporting and recordkeeping procedures to meet company and Caterpillar requirements.
  • Assist with BOL’s, Advanced Receivers and any documentation for equipment tracking.
  • Communicate relevant information, suggestions, or concerns to the Branch Manager.
  • Perform other duties as assigned to support the department.
  • Assist with loading and unloading equipment.

  • Utilize available materials to learn about equipment, systems, and service procedures.
