About The Position

We are seeking a highly organized and resourceful Administrative & Plant Support Coordinator to provide comprehensive administrative, human resources, accounting, and operational support within a manufacturing environment. This role is ideal for a professional who thrives in a fast-paced setting, enjoys supporting multiple departments, and can effectively manage competing priorities with a high degree of professionalism and confidentiality. The successful candidate will be a self-starter with excellent communication skills, strong attention to detail, and the ability to work independently with minimal supervision.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 5 years of administrative support experience.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Strong attention to detail and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Ability to work independently and manage multiple priorities in a fast-paced environment.

Responsibilities

  • Manage front office operations, including answering phones and directing inquiries.
  • Process incoming and outgoing mail, packages, and shipments.
  • Order and maintain office supplies and inventory.
  • Coordinate meetings, employee events, site visits, and company functions.
  • Prepare agendas, schedules, and meeting logistics.
  • Maintain organized office operations and records.
  • Assist with employee onboarding and new hire documentation.
  • Maintain employee personnel files and HR records.
  • Support benefits administration and employee inquiries.
  • Review and track weekly timekeeping records for payroll processing.
  • Coordinate applicant screenings and interview scheduling.
  • Update employee contact information and emergency contact records.
  • Assist with union-related administrative activities and employee reimbursement programs.
  • Generate operational reports and maintain key production records.
  • Support quality management and data entry activities.
  • Assist with shipping documentation and outbound order processing.
  • Track and report operational data as needed.
  • Process invoices, check requests, and payment documentation.
  • Support monthly accounting reporting activities.
  • Manage purchasing card transactions and vendor payments.
  • Assist with expense reporting and administrative financial processes.
  • Coordinate community outreach activities and reporting.
  • Serve as a point of contact for community programs and contribution requests.
  • Support employee engagement and plant-wide events.
