About The Position

ERCO Worldwide is looking for a Plant Administrative Assistant to join their North Vancouver team. This role provides essential administrative and records management support to the plant, focusing on the organization, maintenance, and retention of both physical and electronic records. The position involves sorting, filing, scanning, and storing documents, including critical operational records like safe work permits, ensuring accuracy and adherence to company record retention policies. Additionally, the role supports housekeeping initiatives by maintaining clean and organized filing and storage areas, preparing records for secure shredding, and organizing digital folders to enhance accessibility and document control. The Plant Administrative Assistant will also be responsible for updating maps according to specific guidelines and managing SharePoint files and links.

Requirements

  • High School Diploma required.
  • 1 year of experience as an Administrative Coordinator or in a similar field is required.
  • Proficient in MS Office, Word and Excel.
  • Working knowledge in SharePoint is required.
  • Strong attention to detail and good organizational skills.
  • Excellent communication skills.
  • Demonstrates a strong safety mindset and consistently prioritizes cleanliness.

Nice To Haves

  • Experience with AutoCAD is an asset.
  • Proactive problem-solving mindset with a focus on continuous improvement.

Responsibilities

  • Provide general administrative support across departments, including data entry, document filing, photocopying, and scheduling.
  • Sort, file, scan, and store documents, including safe work permits and other operational records.
  • Ensure files are accurate and in accordance with company record retention practices.
  • Support housekeeping initiatives by maintaining clean, organized filing and storage areas.
  • Prepare records for secure shredding.
  • Organize digital folders to improve accessibility and document control.
  • Update maps to actual and match the provided guidelines from the North Vancouver Fire Department legend & color scheme.
  • Update files folder and links in SharePoint to corporate information sources.
  • Uphold and promote health, safety, and environmental standards in all work settings, fostering a culture of safety.
