About The Position

We are a legal consulting and recruiting company that partners with leading law firms across the United States to connect them with exceptional legal talent. One of our clients, a well-established and growing law firm in Los Angeles, California, is seeking an experienced Personal Assistant / Legal Secretary with 3–5 years of law firm experience to support attorneys in a fast-paced litigation practice. This is an excellent opportunity for a highly organized professional who thrives in a dynamic legal environment and enjoys providing high-level administrative and litigation support. The Personal Assistant / Legal Secretary will provide comprehensive administrative and legal support to attorneys while managing day-to-day office responsibilities. The ideal candidate has extensive experience in a law firm setting, is proficient with state and federal court filings, and is comfortable managing multiple priorities while maintaining exceptional attention to detail.

Requirements

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • 3–5 years of experience as a Legal Secretary, Legal Assistant, Executive Assistant, or Personal Assistant in a law firm.
  • Experience with state and federal court filings.
  • Experience preparing trial notebooks and supporting trial preparation.
  • Strong calendar management and meeting scheduling experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, Outlook, and legal document management systems.

Nice To Haves

  • Experience supporting litigation attorneys.
  • Familiarity with legal billing and time entry software.
  • Experience coordinating depositions, mediations, and court appearances.
  • Knowledge of California court rules and filing procedures.

Responsibilities

  • Provide administrative and executive support to attorneys.
  • Prepare, proofread, and format legal correspondence, pleadings, and other legal documents.
  • Prepare and electronically file documents in state and federal courts.
  • Maintain attorney calendars and coordinate meetings, hearings, depositions, and appointments.
  • Schedule meetings and manage attorney travel and logistics as needed.
  • Prepare, organize, and maintain trial notebooks, exhibits, and case files.
  • Coordinate trial preparation and assist attorneys before and during trial.
  • Manage incoming calls, emails, and client communications professionally.
  • Organize and maintain physical and electronic client files.
  • Monitor deadlines and ensure timely completion of assigned tasks.
  • Communicate with clients, opposing counsel, court personnel, and vendors.
  • Perform additional administrative and secretarial duties as assigned.
