This position serves as key office personnel who interacts daily with the public, city employees, inspectors, plans examiners and the building official. Customer service, organization, detail oriented and multitasking are a must. Interfacing with all customers to service their building department related needs. Issuing and/or tracking permits through the permitting process, beginning with application acceptance, plan review, inspections and permit closure. Establishing and maintaining systems to ensure that all files, letters, reference manuals, field inspection reports, permit files, blueprints, drawings, and other data or material is maintained in an organized fashion. Working with plan examiners and inspectors throughout the company to develop and ensure consistent processes. Assisting with public record requests. Collecting permit fees at the end of the day; filling out daily cash collection sheets; dropping collected fees in safe. Performing a variety of skilled secretarial functions; providing administrative support to departmental personnel; preparing correspondence, reports, and other documentation; updates, scans, and maintains the Department’s records and files. This position may at times require working additional hours, over a weekend, or a holiday. The incumbent must be available to work these extra hours with little to no advanced notice. Other duties as appropriate for the role and as assigned by the Program Director.
