About The Position

We are looking for a People & Culture Assistant who loves organizing travel, coordinating team events, and keeping the behind-the-scenes details running smoothly so our team can do their best work. This role requires someone who can coordinate travel with military precision, communicate with warmth and professionalism, and keep operational details from slipping through the cracks. The ideal candidate will treat onboarding like a first impression that matters, get excited about streamlined SOPs, organized systems, and creating memorable employee experiences. This role is for someone who finds satisfaction in chasing down travel confirmations, updating internal processes, managing confidential information, and organizing engagement initiatives.

Requirements

  • Well-travelled with experience navigating airlines, layovers, customs, immigration, transportation logistics, and scheduling complexities.
  • Ability to coordinate efficient, cost-conscious, and low-stress travel.
  • Calm and confident handling of flights, hotels, transportation, summit logistics, and last-minute changes with minimal errors.
  • Emotionally intelligent, adaptable, and people-smart.
  • Professional communication skills.
  • Ability to build systems, maintain structure, and improve processes.
  • Enjoyment in keeping files organized, calendars coordinated, and processes documented.
  • Proactive and able to follow up.
  • Clear communication skills.
  • Ability to keep projects moving without constant reminders.
  • Ownership of tasks such as onboarding administration, employee communications, leave tracking, handbook updates, and supporting OH&S initiatives.
  • Reliability and consistency in handling tasks and maintaining confidentiality.
  • Ability to improve systems, document SOPs, optimize workflows, and refine internal processes.
  • Humble, putting team and others' needs ahead of their own.

Responsibilities

  • Coordinate travel arrangements, including flights, hotels, and transportation logistics.
  • Organize team events and activities.
  • Manage behind-the-scenes operational details to ensure smooth workflow.
  • Handle onboarding processes to create a positive first impression.
  • Update internal processes and document Standard Operating Procedures (SOPs).
  • Manage confidential information with professionalism.
  • Organize engagement initiatives and employee experiences.
  • Track deadlines and ensure follow-ups are completed.
  • Maintain organized systems, files, and calendars.
  • Support OH&S initiatives.
  • Communicate professionally with executives, teammates, vendors, and new hires.
