Requirements

  • College diploma or university degree in business or accounting.
  • Payroll Compliance Practitioner (PCP) required.
  • Minimum of 4 years previous related experience in a computerized payroll and benefits administration environment.
  • Solid understanding of general accounting functions.
  • Solid understanding of payroll processes and relevant legislation, benefits administration, source deduction and government remittance procedures.
  • General understanding of general accounting functions, including GAAP / CICA guidelines, accounts payable and financial reporting.
  • Solid understanding of Law Society by-laws and policies as they apply to bencher remuneration, expense reimbursement, payroll and related internal controls.
  • Professional communication skills with the ability to speak and write in a clear, articulate manner.
  • Ability to reason through moderately complex spoken and written information.
  • Thorough knowledge of automated payroll systems and absence management applications.
  • Thorough knowledge of personal computers and software applications related to a computerized accounting environment, particularly the use of spreadsheet analyses and report writing applications.
  • Knowledge of reporting tools such as Crystal reports.

  • Payroll Leadership Professional (PLP) or actively working towards PLP strongly preferred.

Responsibilities

  • Supports the administration of the payroll function, including processing employee, member parental leave assistance program, and bencher payrolls.
  • Manages related source deductions and remittances, and prepares pension and benefits remittances.
  • Processes payroll-related journal entries and General Ledger account reconciliations.
  • Supports T4, T4A, EHT, and WSIB reporting processes managed by the Payroll Specialist.
  • Maintains payroll and related files and information.
  • Reviews and processes bencher expense claims.
  • Updates the bencher attendance tracking database to support reporting to the Audit & Finance Committee.
  • Handles ongoing correspondence with benchers on expense claim matters.
  • Communicates with external stakeholders such as the payroll service provider, benefits carriers, and auditors to inquire or resolve issues.
  • Assists in the preparation of required reporting for benchers and the Audit & Finance Committee, and ad hoc reporting requests for Senior Management and other Committees.
  • Contributes to the development and implementation of integrated payroll processes.
  • Works closely with client departments to communicate payroll processes, review and verify payroll information, and contribute to information exchange.
  • Provides detailed information and reports, responds to client inquiries, and follows up on complaints.
  • Stays informed about Law Society by-laws and policies, as well as Canada Revenue Agency statutes, legislation, and regulations pertaining to payroll and expense reimbursement.
  • Prepares written communication to benchers and adjudicators regarding expense and remuneration matters.
  • Acts as a subject-matter expert on payroll systems, bencher expense reimbursement, and associated guidelines.
  • Identifies opportunities for improvements within the payroll function and develops approaches to address them.
  • Monitors and assists in improving and implementing new payroll processes and systems.
  • Processes and validates parental leave, employee, and bencher payroll and benefits information.
  • Assists the Payroll Specialist in processing Law Society payrolls, including extracting information, analyzing, and questioning data.
  • Administers retirements, terminations, and individual record changes.
  • Reviews bencher expense claims for authorization and reasonableness, allocates them to appropriate categories, and processes for payment.
  • Ensures accuracy and completeness of expense claims, following up with benchers for confirmation.
  • Processes approved bencher activity sheets for remuneration, calculating statutory deductions.
  • Generates canned and develops custom reports using applicable reporting tools.
  • Prepares journals for posting to sub-ledger and general ledgers for employee payroll and uploads information into the financial system.
  • Actively participates in department-wide projects.
  • Collaborates with the Payroll Specialist to complete the daily operations of the department.
  • Works cooperatively with client department staff to clarify information and provide assistance regarding payroll procedures.
  • Demonstrates flexibility and commitment to the team to maximize resources and support co-workers during peak periods.
