About The Position

As a Facilities Coordinator, you'll play a key role in ensuring our offices operate efficiently, safely, and seamlessly across Canada. Working closely with facilities leaders, employees, landlords, and service providers, you'll contribute to an environment where people can do their best work while supporting business continuity, health and safety, and operational excellence.

Requirements

  • Minimum 5 years of experience in facilities coordination, office administration, workplace operations, or a related field.
  • Bilingualism in English and French is required, since the person will regularly work with English-only or French-only partners across the country.
  • Availability to work occasional weekends and overtime as required, with access to a vehicle.
  • Intermediate to advanced proficiency in Microsoft Word, Excel, and Outlook.
  • Experience with document formatting and production.
  • Strong customer service, communication, and relationship-building abilities with the confidence to collaborate across all levels of the organization.
  • Excellent organizational, prioritization, and time management skills with the ability to manage competing priorities in a dynamic environment.
  • Demonstrated commitment to quality, confidentiality, ethical conduct, and adherence to corporate policies, procedures, and systems.
  • Self-motivated and proactive with the ability to work independently while contributing positively to team success.
  • Organized, dependable, approachable, and professional, with the ability to remain effective under pressure and take a "Best for WSP" approach to daily activities.

  • Experience supporting operations within a large or multi-location organization is considered an asset.

Responsibilities

  • Coordinate daily facilities operations to maintain safe, functional, and welcoming office environments.
  • Support and provide guidance to Facilities Administrative Specialists while helping deliver excellent service across assigned locations.
  • Assist in the development and implementation of office policies, procedures, and preventive maintenance programs.
  • Support office moves, workspace restructures, restacking initiatives, and employee onboarding/offboarding activities through accurate floor plans and workspace tracking.
  • Liaise with landlords, contractors, maintenance providers, and building management teams to address service interruptions, repairs, signage requirements, and operational issues.
  • Oversee security access administration, company assets, employee lockers, workstations, office allocations, and parking assignments while maintaining accurate facility records.
  • Participate in health and safety initiatives, support Joint Health and Safety Committee activities, coordinate corrective actions, and help maintain emergency preparedness equipment including fire extinguishers and first aid kits.
  • Assist in budget monitoring, manage facilities requests, support multiple office locations when required, and contribute to a consistently organized, efficient, and service-focused workplace experience.
