About The Position

The Payroll AP Specialist plays a critical role in ensuring the accurate and timely processing of payroll accounts payable transactions within the organization. This position is responsible for managing vendor invoices related to payroll services, reconciling payroll accounts, and maintaining compliance with company policies and regulatory requirements. The specialist will collaborate closely with payroll, finance, and HR teams to resolve discrepancies and support audit processes. Requirements

  • High school diploma or equivalent; Associate’s degree in Accounting, Finance, or related field preferred.
  • Minimum of 3 years of experience in accounts payable, payroll processing, or a related financial role.
  • Proficiency with accounting software and Microsoft Excel.
  • Strong understanding of payroll processes and accounts payable procedures.
  • Excellent attention to detail and organizational skills.
  • Strong analytical skills daily to review and reconcile payroll invoices and accounts, ensuring accuracy and compliance.
  • Effective communication skills are essential for collaborating with payroll, HR, and vendors to resolve discrepancies and answer inquiries.
  • Problem-solving skills help the specialist identify process improvements that enhance the efficiency and reliability of payroll accounts payable operations.

Nice To Haves

  • Bachelor’s degree in Accounting, Finance, or Business Administration.
  • Experience with payroll systems such as ADP, Paychex, or similar platforms.
  • Knowledge of federal and state payroll tax regulations.
  • Familiarity with ERP systems like SAP, Oracle, or NetSuite.
  • Certification such as Certified Payroll Professional (CPP) or Accounts Payable Certification.

Responsibilities

  • Process and verify payroll-related accounts payable invoices and expense reports in a timely manner.
  • Reconcile payroll accounts and resolve discrepancies between payroll and accounts payable records.
  • Collaborate with payroll and HR departments to ensure accurate vendor payments and compliance with contractual terms.
  • Maintain detailed documentation and records to support audit requirements and internal controls.
  • Assist in month-end and year-end closing activities related to payroll accounts payable.
  • Respond to vendor inquiries and resolve payment issues promptly and professionally.
  • Support continuous improvement initiatives to streamline payroll AP processes and enhance accuracy.
