About The Position

The Patient Services Associate will provide exceptional customer service to all patients, visitors, and callers, overseeing the safe, efficient, and comfortable atmosphere of the reception area. This role involves greeting patients, reviewing schedules for accuracy, and managing appointment scheduling and rescheduling according to CHC guidelines. The associate will also be responsible for collecting, verifying, and updating patient demographics, insurance information, and forms, as well as reconciling patient visits daily. A key part of the role includes managing patient payments, balances, and copays, and assisting patients with payment plans and sliding fee applications. The position also requires answering, screening, and directing incoming telephone calls, ensuring forms are completed accurately, and scanning them into the EHR. Maintaining patient confidentiality in accordance with HIPAA is paramount. The associate will escalate concerns to site leads or the Operations Manager, suggest improvements, support inventory monitoring, and meet departmental goals. Other duties and projects may be assigned.

Requirements

  • Associates degree, medical office or medical assistant degree required.
  • Bilingual skills, Spanish speaking, required.

Nice To Haves

Responsibilities

  • Provide exceptional customer service to all patients, visitors, and callers.
  • Oversee the safe, efficient, and comfortable atmosphere of the reception area.
  • Greet patients and other visitors to the agency and assist them as appropriate.
  • Review schedules to ensure accuracy and fill appointment opportunities.
  • Schedule and reschedule appointments in accordance with CHC scheduling guidelines.
  • Collect, verify, update, and document patient demographics, insurance information, and forms.
  • Reconcile patient visits daily.
  • Verify active insurance coverage and status and keep information updated.
  • Collect patient payments, balances, and copays.
  • Assist patients with payment plans/sliding fee applications, and ensure applications are up-to-date.
  • Complete end of day reporting and ensure records balance.
  • Answer, screen, and direct incoming telephone calls and document as needed in electronic health record (EHR) system, per CHC guidelines.
  • Ensure forms are completed and accurate, including assisting patients in completing forms, and scan into EHR per CHC Indexing protocols.
  • Consistently ensure and maintain patient confidentiality.
  • Escalate concerns to site leads/Operations Manager and offer suggestions for improvement.
  • Support Operations Manager in monitoring inventory of supplies for the office.
  • Meet and exceed assigned individual and departmental goals.
  • Perform other duties and projects as assigned.
