Patient Onboarding Coordinator- Prosper, TX
About The Position
Mind Body Optimization is seeking a compassionate, people-oriented Patient Onboarding Coordinator to serve as the first point of contact for individuals seeking behavioral health services. The role is suited to someone with a service-industry background who can quickly build trust, communicate effectively, and guide prospective patients toward care. The coordinator combines empathy with influence to support individuals through a vulnerable decision-making process and encourage them to take the next step in their care journey. The position is full-time, 40 hours per week, and on-site at the assigned home facility in Prosper, Texas. Facility operating hours are Monday through Thursday, 8 a.m.–6 p.m. CST, and Friday, 8 a.m.–1 p.m. CST. The starting salary is $41,600.
Requirements
- Strong verbal and written communication skills.
- High emotional intelligence and ability to navigate sensitive conversations.
- Comfort discussing mental health and substance use topics professionally and compassionately.
- Ability to handle rejection and remain resilient in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Basic computer proficiency.
Nice To Haves
- 2–4 years of experience in customer service, hospitality, sales, healthcare, or a related service field.
- Proven ability to build relationships and influence decisions.
- Experience with CRM and/or EMR systems.
Responsibilities
- Serve as the first point of contact for prospective patients and families through phone and online inquiries.
- Build rapport through active listening, empathy, and non-judgmental communication.
- Educate patients about available services, treatment options, and program benefits.
- Guide and encourage individuals to schedule assessments and begin treatment.
- Address objections or hesitations with professionalism, compassion, and persistence.
- Collect and document patient information accurately in the system.
- Coordinate intake appointments and support a smooth onboarding process.
- Collaborate with clinical and operations teams to ensure appropriate patient placement.
- Maintain confidentiality and comply with HIPAA and company policies.
