About The Position

The Patient Encounter Specialist is responsible for greeting patients, welcoming them into the office, and managing appointments. This includes scheduling appointments via phone and in-person for follow-up visits. The role requires assisting providers and staff with various administrative tasks to ensure smooth office operations and excellent patient care.

Requirements

  • High School Diploma or G.E.D.
  • Working knowledge of how a medical office runs.
  • Ability to multitask in a fast-paced medical office environment.

Nice To Haves

  • At least one year of experience working in the medical field.
  • CPR Certified.

Responsibilities

  • Register new patients.
  • Collect co-payments or balances on outstanding accounts.
  • Input insurance information.
  • Scan a photo ID and insurance card(s).
  • Check patients in and notify the nurse/provider that the patient is ready.
  • Check patients out.
  • Answer all incoming phone calls.
  • Make follow-up appointments as instructed by the provider.
  • Assist the provider in any requested capacity.
  • Type letters or send faxes for the provider or nurse when asked.
  • File and pull charts for the next day in offices using paper charts.
  • Take messages for other staff members and providers, ensuring they are delivered to the correct person.
  • Send tasks to the appropriate personnel.
  • Call patients the day before their appointment to remind them if the office does not have an automated system.
  • Ensure provider has completed all charting before filing paper charts.
