About The Position

The Patient Encounter Specialist is responsible for greeting patients, welcoming them into the office, scheduling appointments by phone, and scheduling follow-up appointments in person. This role involves registering new patients, collecting co-payments and outstanding balances, inputting insurance information, scanning identification and insurance cards, checking patients in and out, and notifying medical staff of patient arrival. The specialist will also answer phone calls, make follow-up appointments as directed, assist providers and nurses as needed, and handle tasks such as typing letters, sending faxes, and filing/pulling paper charts if applicable. Additionally, the role includes taking and delivering messages for other staff and providers, and calling patients to remind them of upcoming appointments if an automated system is not in place. Ensuring provider has completed charting before filing charts is also a responsibility.

Requirements

  • Must have at least a High School Diploma or G.E.D.
  • Working knowledge of how a medical office runs.
  • 2+ years experience in a dental setting

Nice To Haves

  • At least one year of experience working in the medical field would be preferred but not required.
  • CPR Certified preferred.

Responsibilities

  • Register new patients.
  • Collect co-payments or balances on out-standing accounts.
  • Input insurance information.
  • Scan a photo id and insurance card(s).
  • Check patients in and notify the nurse/provider that the patient is here and ready to be taken back.
  • Check patients out.
  • Answer all phone calls that come into your line.
  • Make follow up appointments per the provider’s instructions.
  • Help the provider in any way he/she might ask of you.
  • Be ready to type letters or send faxes for the provider or nurse if asked.
  • If in an office that uses paper charts, you will be required to help file charts and pull them for the next day.
  • Take messages for other staff members and provider if the patient or person does not want to leave a voice message and make sure they are delivered to the correct person.
  • Send the task to the correct person that it should be sent to.
  • Call the next day’s patients before you leave if you are in an office that doesn’t have an automated calling system to remind patients of their appointments.
  • If you have to file charts, make sure the provider has finished all charting before you file the chart away.
