The Patient Access Representative (PAR) performs patient registration, scheduling, or both, depending on the location and setting. The role also includes additional duties as assigned. In registration, the PAR greets patients, verifies demographic information, creates electronic files, handles forms and documents, explains paperwork and obtains signatures, establishes financial responsibility or helps arrange payment, and collects applicable payments. The PAR may also resolve registration work queue issues, denied insurance claims, and registration database issues. In scheduling, the PAR schedules appointments and procedures, coordinates referrals, conducts pre-authorization, arranges interpreter services, checks patients in and out, and connects patients with additional resources. The PAR collaborates with nursing staff and providers to coordinate appointments and may maintain provider schedules, work queues, recall lists, and waitlists. Depending on the setting, additional work may include chart preparation, financial assistance coordination, prior authorization, visit tracking, account information management, reports, assessments, telemedicine coordination, charge entry and verification, reminder calls, hospital admissions, and general office tasks. The PAR may operate multi-line telephones and, depending on location, serve as a switchboard operator. In all settings, the role mentors new Patient Access Representatives and other staff, maintains confidentiality, and supports a professional, respectful, cooperative environment. The PAR works both independently and as part of a team, frequently taking direction from the nursing team, and provides empathetic customer service. Working knowledge of medical terminology and professional written communication are needed.
