The Patient Access Representative (PAR) performs patient registration and scheduling, depending on the location and setting. In some settings, the role focuses on one function; in others, it includes both. Additional duties vary by setting. The PAR greets patients, verifies demographics, creates and maintains electronic files, handles related paperwork, educates patients about forms, and obtains required signatures. The role may establish financial responsibility, assist with payment arrangements, and collect copayments, prepayments, and account balances. Scheduling duties may include arranging appointments and procedures, coordinating referrals, obtaining pre-authorization, arranging interpreter services, checking patients in and out, and coordinating appointments with nursing teams and providers. Other setting-dependent work may include maintaining provider schedules, managing work queues and waitlists, handling charts and documents, coordinating telemedicine appointments, processing charges, making reminder calls, and supporting admissions and reports. The PAR may operate a multi-line telephone and, depending on the location, act as a switchboard operator. The representative mentors new PARs and other staff, maintains confidentiality, and promotes a professional, respectful, cooperative environment. The role requires teamwork and the ability to work independently, often taking direction from the nursing team, along with excellent customer service, empathy, medical terminology knowledge, and professional written communication.
