About The Position

We are seeking a friendly, organized, and detail-oriented Front Desk Receptionist & Surgery Scheduler to join our team. This dual-role position is responsible for providing professional front desk support while efficiently coordinating and scheduling surgical procedures. The ideal candidate will be dependable, compassionate, professional, and able to communicate effectively with patients, families, physicians, clinical staff, and business office personnel. Previous healthcare, medical office, or surgery scheduling experience is preferred.

Requirements

  • High school diploma or equivalent required.
  • Previous medical office, healthcare, front desk, or surgery scheduling experience preferred.
  • Technical training and/or related work experience.
  • Computer proficiency, including experience with Windows-based systems.
  • Knowledge of medical terminology preferred.
  • Knowledge of health insurance plans and insurance verification preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to multitask and work effectively in a fast-paced healthcare environment.
  • Must be able to maintain patient confidentiality and comply with HIPAA and all applicable privacy policies.

  • This position will have access to confidential patient information, including Protected Health Information (PHI), in the course of performing job responsibilities. The employee is expected to maintain strict confidentiality and comply with HIPAA requirements and all facility policies and procedures regarding the privacy and security of patient information.

Responsibilities

  • Greet patients, families, physicians, and visitors in a friendly and professional manner.
  • Answer and direct telephone calls and respond to patient and physician office inquiries.
  • Enter and verify patient registration and insurance information.
  • Maintain complete and accurate patient records and files.
  • Assist with insurance verification and other front office responsibilities.
  • Maintain a professional, organized, and welcoming reception area.
  • Operate office equipment, including computers, copy machines, adding machines, and postal equipment.
  • Provide support to the administrative and clinical teams as needed.
  • Schedule surgical procedures accurately and efficiently.
  • Coordinate scheduling requests involving procedure times, equipment, and physician preferences with the Nursing Director/OR Charge Nurse.
  • Verify physician scheduling privileges.
  • Prepare, print, and distribute daily procedure schedules.
  • Ensure patient names, physician names, procedures, and scheduled times are complete and accurate before schedules are distributed.
  • Reschedule cancelled or postponed cases and communicate cancellations, postponements, and add-on cases to Pre-Op, PACU, OR, anesthesia, and administrative staff.
  • Ensure all pertinent clinical and scheduling information is forwarded to the appropriate clinical and materials coordination teams.
  • Communicate with Anesthesia regarding the surgical schedule to ensure appropriate coverage.
  • Verify scheduled procedures and physician block-time utilization with physician offices at least one week in advance.
  • Coordinate with physician offices to ensure timely and accurate scheduling of procedures.
  • Maintain accurate scheduling records and files.
