About The Position

This role is responsible for a variety of tasks related to order processing and management, ensuring accuracy and efficiency in the fulfillment process. The Order Processing Assistant will work closely with the Ecommerce Sales Team, Order Management Analysts, warehouse teams, and carriers to manage purchase orders, inventory, shipping documentation, and returns. Key responsibilities include updating reports, communicating with partners, resolving discrepancies, preparing shipping documents, and handling website-related order adjustments.

Responsibilities

  • Update the Pending Approvals report for the Ecommerce Sales Team.
  • Send out emails to partner DCs for late and due today purchase orders.
  • Review the validity of order details (purchase orders and units) in WMS as provided by Order Management Analysts.
  • Coordinate with the warehouse replenishment team and Order Management Analysts regarding any inventory discrepancies or rejections.
  • Coordinate with carriers to schedule pick-ups.
  • Prepare shipping documents including shipping labels, packing lists, pallet summaries, load guides, and BOLs.
  • Coordinate last-minute short picking, missed pick-ups, and/or overflows back to Order Management Analysts and update the customer website with missed pick-up tickets.
  • Confirm all purchase orders are picked up and scanned, and upload all BOLs.
  • Process returns and undelivered goods on the website as needed, and update the returns report.
  • Run WIP (work in progress) reports as needed.
  • Update the WIP Information Report.
  • Compare the number of purchase orders from the portal to NetSuite for Ecommerce orders.
  • Cancel any purchase orders with inventory discrepancies in WMS, NetSuite, and the website for Ecommerce Orders.
  • Update the Work in Progress board.
  • Handle all alerts, cancellations, replacement parts, etc. on the customer’s website.
  • Communicate the weekly orders forecast and future rollouts to Senior Warehouse Leadership.
  • Comply with company safety policies, procedures, and best practices.
  • Other duties as assigned by the Manager.
