About The Position

Pilot John International is recruiting a detail-oriented Order Management Specialist to join our Sales Department. This role is critical to maintaining operational excellence and delivering a superior customer experience. The Specialist will oversee efficient order processing, manage manufacturer and vendor communications, and collaborate with internal departments to ensure seamless transaction lifecycles. The successful candidate will demonstrate strong organizational capabilities and a commitment to professional service in a dynamic business environment.

  • Competent in identifying problems, conducting evidence-based research, and formulating logical solutions. Able to understand technical requirements and navigate multi-variable conditions to maintain business continuity.
  • Comprehensive knowledge of standard office software, including Google Suite, Microsoft Office (Outlook, PowerPoint, Excel, Word), and various collaboration and communication platforms like Skype and MS Teams.

Responsibilities

  • Execute end-to-end order processing across multiple channels, including purchase orders, web, telephony, and estimate conversions.
  • Manage customer communications regarding technical order specifications and facilitate the collection of required export documentation.
  • Liaise with manufacturers and vendors to monitor production timelines and update the corporate database with real-time status tracking.
  • Mitigate order discrepancies by providing proactive notification to customers regarding pricing adjustments or delivery schedule modifications.
  • Serve as a primary point of contact for complex order inquiries, ensuring resolution and transparency.
  • Audit vendor performance in collaboration with Operations to ensure compliance with PJi procurement standards.
  • Partner with Finance to manage credit terms, account aging, and payment reconciliation to optimize cash flow and order flow.
  • Coordinate global logistics in conjunction with the distribution team, managing both parcel and complex freight shipments.
  • Analyze customer feedback and complaints to identify trends and report actionable insights to senior leadership.
  • Administer shared sales communication channels and provide surge support for sales initiatives as required.
