About The Position

We are seeking an organized and detail-oriented Order Management Specialist to join our team in our Moorestown headquarters. This role will focus primarily on processing and recording orders including preparation and delivery of client proposals, and the corresponding data entry and database maintenance. The ideal candidate will require the ability to prioritize their work with high efficiency, possess sharp analytical skills, and function in collaboration with the team. As a firm dedicated to serving the commercial real estate industry, you will support a high-volume desk, where accuracy and speed are critical to our clients' transaction timelines. As part of our business development and opportunity management team, you will be an integral part of project intake, ensuring accurate data management and seamless communication between our clients and our technical professionals.

Requirements

  • Three years of experience in order processing and database maintenance.
  • Excellent interpersonal and communication skills, and attention to detail.
  • Ability to work in a team environment and be accountable, collaborative, and trustworthy.
  • Must remain flexible and handle multiple priorities in a fast-paced environment.
  • Problem-solving skills and resourceful thinking.
  • Possess a high level of privacy and confidentiality
  • High proficiency in Microsoft Office

Nice To Haves

  • Associate’s degree in business management preferred.

Responsibilities

  • Responsible for entry and maintenance of new orders within our Deltek VantagePoint system, ensuring data accuracy throughout the opportunity lifecycle.
  • Preparation and delivery of client proposals, and involvement in opportunity acknowledgement and follow-up to ensure clients receive prompt responses.
  • Enter and maintain all order specific data including client related data and contacts, and organize and save related emails, documents, files, etc.
  • Collaborate with our Environmental and Engineering departments on the status of incoming orders and ensure timely project initiation.
  • Serve as a point of contact to field client inquiries related to their project orders with professionalism and efficiency, and work with our team to ensure their inquiries are addressed quickly.
  • Assist triaging incoming project opportunities; this may include communicating directly with clients to clarify the purpose and scope of work, researching and confirming subject property details, and identifying critical timing requirements to manage delivery expectations.
  • Assist with other tasks as needed to support the team.
