About The Position

This role provides order/data entry support to the organization by processing orders received via telephone, fax, or central workflow systems. The receptionist aspect involves answering phones, greeting visitors, and obtaining, analyzing, and verifying the accuracy of order information and customer requests in a timely manner. The position requires initiating and/or implementing corrective action on orders as needed to ensure excellent service and high customer satisfaction.

Requirements

  • 1-2 years of data/order entry/administrative or relevant experience required.
  • High School Diploma or equivalent required.
  • Must be organized, efficient, and accurate.
  • Must have excellent communication (written and oral), interpersonal, conflict management, and time management skills.
  • Experienced user of Microsoft Office 365 suite.
  • Listening skills and data collection with attention to detail are essential.
  • Ability to calculate discounts, fractions, percentages, area circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

Responsibilities

  • Provides order/data entry for branch operations.
  • Processes and verifies the input accuracy of orders from customers utilizing the company’s internal central workflow systems and customer purchase orders.
  • Initiates required action for response to customer service requests for new order and change requests and communicates changes to the appropriate teams.
  • Assists in proofreading entered orders and ensures that the correct information is being applied prior to final confirmation.
  • Collaborates with the customer service team to make sure that the requested order(s) meet the customer’s expectations.
  • Works with the organization’s other branch/regional locations to resolve problems, facilitates solutions and enhance the customer service offerings.
  • Attends regular customer service departmental meetings and trainings.
  • Supports/participates in the organization’s continuous improvement program and product training courses.
  • Performs other related duties and provides back-up support to other group functions as assigned by management.
  • Works in conjunction with project managers/coordinators and customer service representatives.
  • Modifies quote status once order has been placed in ERP system to ensure visibility and uniformity in Sales CRM.
  • Adheres to departmental key performance indicators.
  • Maintains appropriate working relationships with internal and external stakeholders.
  • Regularly maintains Kwik Tag program to ensure all kwik tagged documents are scanned and assigned to the appropriate order.
  • Answers calls with defined key performance indicators and directs callers to proper extension.
  • Welcomes and greets customers in a friendly and professional manner, creating a positive first impression and assisting with any initial inquiries.
  • Collaborates with all branch department leads to ensure support functions are being performed.
  • Posts mail & prints daily Fed Ex/UPS pick up (if applicable).
  • Processes CIA, COD Payments and any checks received at the branch in TruAccess.
  • Invoices orders not captured in auto invoicing.
  • Processes Sales Credits and RGA’s (Return Good Authorizations) for the branch.
  • Supports Customer Service team as needed in various functions.
  • Runs and inputs reports as instructed by Management.
  • Reviews and verifies signatures on shipping POD’s (Proof of Deliveries), then Kwik Tags and scans them.
  • Reviews packing slip notes, verifies replacements have been processed, and processes any that were not processed.
  • Supports production managers with order questions and processes replacements for intercompany orders.
  • Completes forms in accordance with company procedures.
  • Enters sample orders, creates sample labels, manages sample inventory and exports open sample orders.
  • Prepares and distributes submittal & warranty paperwork for small projects not handled by the Project Coordinator.
  • Distributes daily truck manifest to branch contacts and sales representatives.
