About The Position

This position is responsible for monitoring compliance with Department and MQA Board Orders. This position requires independent thinking, detailed analysis, and use of professional judgment in every aspect of performing below duties and responsibilities. The role involves preparing complex disciplinary cases for medical probation committee and various other professions, reviewing cases for completeness and accuracy, and utilizing specific software (LEIDS, iBuilder (Agenda 2.0), Axiom Pro, and/or Adobe) to facilitate agenda building. The position also requires preparing and submitting public and private book materials, meeting established deadlines for publishing agendas, preparing/mailing letters, and processing emails and mail. Additionally, the role includes participating in meetings, understanding the disciplinary process (rules, statutes, codes, policy), directing telephone inquiries, reviewing Board Orders and entering terms into a database, recording license status changes, communicating with respondents and involved parties, managing case files, referring non-compliant respondents to collections or further investigation, processing compliance cases, preparing documents for board meeting agendas, presenting compliance cases at board meetings, researching and preparing information/reports/presentations, and responding to public records requests. The position also includes performing other required duties.

Requirements

  • Proficient computer skills to include Word, Excel, PowerPoint and Outlook
  • Knowledge of computer data bases
  • Knowledge and use of the compliance management system and licensing system used by the Agency
  • Knowledge of laws, legal codes, court procedures and government rules & regulations
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Understanding written sentences and paragraphs in work related documents

  • One (1) year of professional experience to include data entry, case management, reviewing or auditing documents for specific criteria; applying applicable laws, rules, regulations, policies, and procedures; researching and gathering data; preparing reports and correspondence.

  • Must be able to learn and communicate effectively, orally and in writing, in English.

Responsibilities

  • Timely prepares complex disciplinary cases for medical probation committee and various other professions for review by the Committee Members and and/or Board members.
  • Independently reviewing a high volume of complex disciplinary cases for completeness, correct contents, and order of materials.
  • Utilizes LEIDS, iBuilder (Agenda 2.0), Axiom Pro, and/or Adobe, to facilitate building agendas.
  • Prepares and submits public and private book materials to Board office staff.
  • Meet established deadlines including, but not limited to, publishing agenda, preparing/mailing of various letters to appropriate parties, reviewing and processing emails and mail.
  • Participates in meetings for assigned professions.
  • Requires understanding of the disciplinary process; including but not limited to interpretation of rules, statutes, and administrative codes as well as policy.
  • Directs telephone inquiries received from the general public, complainants, subjects and/or subjects counsel concerning disciplinary cases to the responsible party.
  • Provides information and direction regarding the management of case files.
  • Timely review Board Orders and accurately enter all terms and discipline into electronic database.
  • Timely record license status changes as related to orders and contract requirements.
  • Communicate with Respondents and involved parties, verbally and in writing, as established in Department, Division, and Unit policies and procedures.
  • Timely review and accurately record all information, correspondence, reports, and monies, incoming and outgoing, related to compliance case management.
  • Refer non-compliant respondents to collections and/or for new investigation as established in policy and procedure.
  • Process all compliance cases as per established policy and procedure.
  • Prepares documents as requested and as established in policy and procedure for board meeting agendas.
  • Presents compliance cases at board meetings as requested and required.
  • Researches and prepares information, reports and/or presentations as directed by supervisor and/or manager.
  • Responds to public records requests as established in policy and procedure.
  • Performs other duties as required.
