About The Position

The Operations Support Specialist provides critical day-to-day support to transportation operations, ensuring accurate labor reporting, payroll compliance, and service readiness. The position audits time and attendance records, supports charter and special event operations, and assists with scheduling and dispatch as needed. It plays a key role in maintaining DOT and labor compliance and helps minimize service disruptions through strong attention to detail, cross-functional coordination, and proactive issue resolution. The role also includes providing constructive coaching to team members.

Requirements

  • Must be at least 21 years of age
  • Ability to follow written and verbal instructions
  • Strong attention to detail and accountability. Strong bias for action.
  • Minimum of 1 year of supervisory or team lead experience, including coaching, scheduling, or overseeing daily operations
  • Payroll experience, including reviewing timecards, resolving discrepancies, or supporting timesheet audits. Follow-up with Drivers and Supervisors directly and as needed to ensure punch detail is accurate.
  • Strong understanding of time and attendance systems, including tracking hours worked, managing time-off requests, and ensuring accurate recordkeeping
  • Minimum of 3 years of customer service experience, preferably in a fast-paced or operations-focused environment
  • Proficient in Microsoft Office Suite, with intermediate skills in Excel (data tracking, basic formulas), Outlook, and Word
  • Internal candidates must be in good standing, including satisfactory performance, positive attendance record and emulate the TransWest Core Values

Responsibilities

  • Audits timecards daily, ensures minute by minute accuracy, break compliance, and prevents time-card fraud; partners with Finance and Payroll to support on time payroll and accurate client billing.
  • Approves or denies charter requests based on defined criteria, communicates directly with the client, prepares event materials (including maps and signs), assigns and trains drivers, and tracks/report charter performance.
  • Provides coverage and assistance for scheduling projects and covers dispatch operations when needed.
  • Tracks route changes and PGM tickets, ensuring all operational updates comply with internal policy and State/Federal labor and DOT requirements.
  • Improves labor law and DOT compliance, reducing exposure to penalties, grievances, and audit findings.
  • Prevents payroll errors, timecard theft, billing errors, and unapproved labor costs.
  • Streamlines coordination across departments and reduces rework, escalations, attendance coaching and service disruptions.
  • Perform other duties as assigned.
