About The Position

The Operations Support Specialist – Flight Operations role supports Wheels Up pilots through compensation administration, bonuses, training agreements, role and aircraft transitions, and coordination with Training, Safety, HR, Crew Planning, and Crew Scheduling. This role also serves as the primary point of contact for pilot inquiries through the Crew Support mailbox, providing timely support, direction, and resolution. This role will be based in the Member Operations Center (MOC) in Chamblee, GA, with the expectation that the selected candidate will work from the MOC at least one week per month initially, with the opportunity and expectation to transition to a full-time MOC-based schedule over time.

Requirements

  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and OneDrive/SharePoint and DocuSign.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.
  • Exceptional attention to detail and accuracy when working with employee records, compensation information, data, and other sensitive documentation.
  • Strong written and verbal communication skills with the ability to provide clear, professional, and timely responses to pilots and internal partners.
  • Ability to research issues, exercise sound judgment, identify solutions, and appropriately escalate matters when necessary.
  • Ability to learn, interpret, and apply company policies, procedures, and applicable compliance requirements.
  • Strong customer-service mindset and the ability to build effective working relationships across multiple departments.
  • Ability to work independently while contributing effectively to a collaborative team environment.
  • Demonstrated ownership, accountability, and a proactive, “get-it-done” approach to supporting pilots and business operations.

Nice To Haves

  • Previous experience in aviation, airline, or Part 135 operations.
  • Wheels Up experience, particularly in Crew Scheduling, Crew Planning, Logistics, Flight Control, Training, or other operational support functions.
  • Experience supporting pilots, flight crews, or other safety-sensitive employees.
  • Familiarity with crew scheduling systems, flight operations, crew logistics, pilot records, or other aviation operational systems.
  • Experience administering or supporting employee compensation, incentive programs, bonuses, or training agreements.
  • Experience working with HRIS, crew management, records management, or other enterprise systems.
  • Experience with data reconciliation, auditing, reporting, quality control, or maintaining large volumes of detailed records.
  • Demonstrated experience identifying process gaps and implementing improvements that increase efficiency, accuracy, or consistency.
  • Knowledge of compliance practices, auditing techniques, root cause analysis, and problem-solving methodologies.
  • Experience working in a high-volume operational environment where priorities can change quickly and timely response is critical.

Responsibilities

  • Administer and maintain accurate pilot compensation programs, including annual pay increases, premium pay, flight-hour pay, referral bonuses, and training agreement payments and repayments.
  • Serve as a primary point of contact for pilot inquiries received through the Crew Support mailbox, providing timely, accurate, and professional responses while triaging issues to the appropriate department when needed.
  • Coordinate with Training, Safety, Human Resources, Crew Planning, Crew Scheduling, and other operational teams to support pilots as they transition between roles, aircraft, training, and active/inactive duty status.
  • Maintain accurate and timely pilot records, including safety-sensitive employee records and documentation required for compliance and operational purposes.
  • Obtain and maintain a strong working knowledge of applicable regulatory, company, and operational requirements and ensure records and processes remain compliant.
  • Review and apply company policies and procedures related to pilot operations, compensation, records, and compliance while identifying opportunities to improve efficiency, accuracy, and the pilot experience.
  • Perform data entry, reconciliation, auditing, and quality-control activities across recordkeeping systems, spreadsheets, and other operational platforms.
  • Research, resolve, and respond to questions regarding pilot records, compensation, status, and other operational support matters, escalating complex issues appropriately.
  • Support department initiatives and operational processes related to aircraft, crew, and the Wheels Up operating certificate.
  • Maintain confidentiality and exercise sound judgment when handling sensitive pilot, compensation, employment, and operational information.
  • Identify trends, recurring issues, and process gaps and recommend solutions that improve accuracy, consistency, efficiency, and customer service.
  • Perform other duties and responsibilities as assigned in support of the evolving needs of Wheels Up operations.
