About The Position

The Operations Project Coordinator / Estimator Assistant supports project execution by ensuring deliverables are completed on time and within budget. This role is responsible for cost tracking, reporting, and analysis of crews and projects, as well as assisting with the preparation of estimates for small to mid-sized projects. This is an onsite office position located in Little Canada, MN.

Requirements

  • 1–3 years of relevant professional experience
  • Experience with Bid2Win, TCR, Smartsheet
  • Familiarity with project management principles
  • Proficiency in Microsoft Office (Excel, Word, Access, Project)
  • Experience with tools such as Power BI, Smartsheet, B2W, and related systems
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication
  • Effective interpersonal and teamwork skills
  • Detail-oriented with strong organizational abilities
  • Ability to work independently and manage multiple priorities
  • Proactive in identifying and escalating issues
  • Adaptable and open to change
  • Ability to work occasional evenings or weekends as needed
  • Willingness to travel for meetings or training
  • Must pass a drug screening (drug-free workplace)

Responsibilities

  • Assist in developing, updating, and monitoring projects and crew schedules
  • Maintain and update project budgets, forecasts, and crew cost tracking systems
  • Review and code timesheets and invoices for accuracy
  • Track crew production quantities and project progress on a daily/weekly basis
  • Analyze cost and productivity data; provide insights and recommendations
  • Support project setup, coding, and baseline development
  • Prepare and maintain internal and external cost reports and forecasts
  • Contribute to weekly and monthly progress and KPI reports
  • Compile and distribute technical and administrative documentation
  • Assemble monthly reporting packages for leadership
  • Perform additional project management duties as assigned
  • Attend pre-bid meetings and occasional site visits
  • Review bid documents and identify key cost drivers
  • Prepare and submit questions or clarifications to clients
  • Assist in developing bid pricing, schedules, and proposal documents
  • Collaborate with estimators and operations teams
  • Solicit and evaluate subcontractor and material quotes
  • Manage multiple bids and meet deadlines
  • Analyze large data sets to identify trends and insights
  • Maintain confidentiality of sensitive information
  • Perform additional duties as assigned
