About The Position

The Estimating Coordinator plays a key support role in the success of the preconstruction process. You will be responsible for coordinating bid documents, managing subcontractor communication, and supporting the estimating team to ensure all bids are organized, complete, and submitted on time. This is not just an administrative role, it is a foundational position within the estimating team that requires attention to detail, strong communication, and the ability to manage multiple priorities in a deadline-driven environment. You will work closely with Estimators, Project Managers, and subcontractors, gaining exposure to the full lifecycle of preconstruction. This role offers a clear path for growth into Estimating or Project Management for individuals looking to build a long-term career in construction.

Requirements

  • Associate’s or Bachelor’s degree in Construction Management, Engineering, or related field preferred
  • Relevant experience in construction, estimating support, or project coordination may be considered in lieu of a degree
  • 2+ years of experience in construction, estimating support, or administrative roles (construction industry preferred)
  • Basic understanding of construction drawings, specifications, and terminology
  • Strong organizational skills with the ability to manage multiple deadlines and priorities
  • High attention to detail and accuracy in a fast-paced environment
  • Proficiency in Google Workspace and Microsoft Office
  • Ability to communicate effectively with internal teams, subcontractors, and vendors
  • Highly organized with strong time management skills
  • Detail-oriented with a commitment to accuracy and quality
  • Proactive and dependable with a strong sense of ownership
  • Collaborative team player who supports team success

Nice To Haves

  • Experience with construction software (e.g., Bluebeam, Procore, PlanSwift) preferred
  • Experience tracking bids, managing documentation, or supporting estimating teams is a plus

Responsibilities

  • You will coordinate the distribution of plans, specifications, and addenda to subcontractors and vendors.
  • You will track bid invitations, manage subcontractor outreach, and follow up to ensure adequate bid coverage.
  • You will maintain and update subcontractor and supplier databases, including contact information and trade classifications.
  • You will assist estimators with bid preparation, including document organization and basic quantity takeoffs.
  • You will track bid deadlines and ensure all required documentation is received and submitted on time.
  • You will compile, organize, and level subcontractor proposals for estimator review.
  • You will prepare bid summaries, comparison sheets, and support documentation for internal review.
  • You will maintain organized digital and physical filing systems for all estimating and bid-related documents.
  • You will support pre-bid meetings, job walks, and communication with subcontractors.
  • You will assist with post-bid activities, including project handoff to operations teams.
  • You will help maintain estimating databases, historical cost data, and bid tracking logs.
  • You will provide general administrative and coordination support to the estimating and preconstruction team.
