About The Position

SVN | Wood Properties is a commercial real estate brokerage and property management firm serving East Tennessee for more than 45 years. Our team specializes in helping property owners, investors, and businesses buy, sell, and lease commercial properties. We are seeking a highly organized Operations Coordinator to support our Industrial Brokerage Team. This role plays a key part in keeping listings, transactions, and internal operations running smoothly in a fast-paced professional environment. This position is ideal for someone who enjoys organization, coordination, and being a reliable support partner to a high-performing team. The Commercial Real Estate Operations Coordinator provides administrative and operational support to the Industrial brokerage team. This role assists with marketing coordination, transaction documentation, scheduling, database management, and general team support throughout the commercial real estate deal process. The ideal candidate is detail-oriented, organized, and comfortable managing multiple responsibilities while keeping processes on track.

Requirements

  • 1–3 years of administrative, office support, or operations experience preferred
  • Strong organizational and time management skills
  • Ability to manage multiple assignments and deadlines
  • Strong written and verbal communication skills
  • Experience using Google Workspace or similar office software

Nice To Haves

  • Experience with CRM or database systems is helpful but not required

Responsibilities

  • Assist with preparation of marketing materials for property listings
  • Maintain listings across online platforms such as LoopNet, Crexi, and CoStar
  • Organize listing information including photos, floor plans, and property details
  • Assist with email marketing campaigns and digital marketing efforts
  • Coordinate listing photography and marketing timelines
  • Conduct basic market research including comparable sales and lease rates
  • Assist with commercial real estate transactions from contract through closing
  • Prepare transaction documents and manage electronic signatures
  • Track important deadlines including earnest money deposits and due diligence periods
  • Coordinate inspections, surveys, environmental reports, and appraisals
  • Assist with closing coordination and post-closing documentation
  • Maintain CRM databases and internal Google Drive files
  • Enter new leads, contacts, and comparable data into internal systems
  • Schedule property tours, meetings, and client appointments
  • Coordinate property showings and inspections
  • Assist with internal reporting and tracking team activity
  • Track team expenses and assist with commission processing
  • Coordinate meetings, travel logistics, and networking events
  • Provide general administrative support to the brokerage team
