About The Position

CDD is looking for a detail-oriented, organized Operations Coordinator to provide essential administrative and operational support across our fleet, facilities, compliance, and internal systems functions. Working under the Chief Operating Officer, this role helps keep the agency running smoothly -- maintaining organized records, coordinating key processes, supporting vendor and system administration, and improving day-to-day operational efficiency across the organization.

Requirements

  • High school diploma or equivalent required; associate degree or additional administrative training preferred.
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
  • Ability to maintain accurate records and work with a high level of attention to detail.
  • Proficiency with common office software (Word, Excel, Outlook) and the ability to learn agency systems and databases.
  • Strong communication, problem-solving, and customer service skills.
  • Ability to handle sensitive information with professionalism and confidentiality.
  • Valid driver's license and ability to meet insurance requirements preferred, based on assigned duties.

Nice To Haves

  • One to three years of experience in administrative support, operations coordination, office management, accounting support, human resources support, or a related role.
  • Experience with fleet management systems.
  • Experience with project management systems such as monday.com.

Responsibilities

  • Manage fleet-related systems and records, including vehicle assignments, maintenance coordination, vehicle tagging, mileage tracking, and fuel card administration.
  • Manage related fleet platforms such as Enterprise, WEX, and Azuga.
  • Monitor driving behavior for policy violations and report concerns in accordance with procedures.
  • Coordinate utility setup, disconnection, transfers, and ongoing account management for all agency and client support locations.
  • Troubleshoot utility, internet, and phone issues and contact vendors as needed for resolution.
  • Track, organize, and maintain facility keys, access cards, and CDD property custodial checkout records and related documentation.
  • Maintain property, technology, equipment, and asset tracking records.
  • Maintain calendars and schedules for internal audits and reviews.
  • Support maintenance of various information systems such as monday.com, Setworks, and other agency systems and databases.
  • Prepare reports, maintain files, and support process improvement efforts that strengthen operational efficiency across departments.
  • Perform other related administrative and operational support duties as assigned.
