About The Position

YWCA Lancaster is looking for a full-time Operations Coordinator, who is an integral part of our team. This position combines on‑site operational oversight with administrative responsibilities in a mission‑driven nonprofit setting. Occasional flexibility in schedule may be required to respond to building or community needs.

Requirements

  • Experience in facilities management, operations coordination, administrative support, or a related nonprofit or mission‑driven environment.
  • Working knowledge of building systems, maintenance coordination, and safety compliance.
  • Strong organizational, documentation, and time‑management skills.
  • Ability to collaborate with diverse stakeholders including staff, residents, volunteers, vendors, and community partners.
  • Must possess the desire and ability to embody the YWCA’s mission of eliminating racism and empowering women.
  • Knowledge of general office procedures.
  • Ability to communicate effectively both verbally and in writing, with strong grammar and spelling skills.
  • Organized and detail oriented.
  • Knowledge of word processing and spreadsheets and ability to use telephone.
  • Ability to lift and carry up to 15 lbs. and make deliveries and pick-ups within a six-block radius.

Responsibilities

  • Coordinate building repairs and maintenance, including plumbing, carpentry, HVAC systems, residence rooms, and shared spaces, ensuring safe and welcoming environments for residents, staff, and community partners.
  • Maintain an up‑to‑date inventory of residential furniture and equipment; clean, repair, or replace items as needed to support dignified living and working spaces.
  • Ensure annual maintenance, inspections, repairs, and building system updates are planned, budgeted, completed, and documented in alignment with nonprofit fiscal responsibility.
  • Develop and maintain clear, accessible systems for tracking maintenance requests, repairs, and ongoing facility needs.
  • Coordinate waste disposal, recycling, and outdoor maintenance services in support of sustainability and cleanliness.
  • Keep all signage updates, branded, clean and easy to understand.
  • Collaborate with the City of Lancaster and other regulatory partners to support audits, Fire Marshal inspections, and compliance requirements.
  • Ensure regular schedules for cleaning, disinfecting, testing, and other building needs are documented and completed to support health and safety standards.
  • Manage building security systems and emergency preparedness plans, including keys, access key cards/fobs, and video monitoring.
  • Develop systems to regularly review, update, and test emergency and security procedures in compliance with organizational and regulatory expectations.
  • Partner with Kepler Hall Residence staff to address maintenance, safety, and repair needs within residential units.
  • Assist the maintenance team in preparing vacant units by ensuring they are cleaned, furnished, and ready to welcome new residents with care and efficiency.
  • Serve as a liaison for community use of the building, coordinating schedules, space needs, requirements, and written agreements.
  • Support responsible and mission‑aligned community use of the building while maintaining security and protecting organizational assets.
  • Track and manage service contracts and vendor relationships.
  • Maintain accurate records of vendor invoices, purchase orders, and payments to support transparent financial operations.
  • Serves as substitute for Front Desk Receptionist (if available).

  • Performs other duties as assigned.
