About The Position

PAX sapiens is a grantmaking and operating foundation whose mission is to prevent predictable global catastrophes. We use direct grantmaking and coordination tools such as convenings, conferences, and information-sharing systems to advance human security and sustainable peace. In support of our mission, our focus areas include strengthening global systems for pandemic prevention, preventing nuclear war, and promoting better US-Chinese relationships in global fora specifically. We focus on hiring talented and impact-driven professionals who are passionate about driving positive change. PAX sapiens is looking for an organized and proactive person with excellent communication and project management skills to join our team. The ideal candidate has impeccable attention to detail. This position is in support of the work of the operations team and reports to the Operations Manager and includes supporting meetings, convenings, strategic learning initiatives and special projects. Approximately 25 percent of time, this position will provide administrative support to senior leadership.

Requirements

  • Bachelor's degree in a related field.
  • Strong interest in international affairs and development.
  • Minimum of 1-3 years experience in a nonprofit, campaign, or philanthropic environment.
  • Outstanding attention to detail.
  • Strong organizational and communication skills.
  • Strong and concise writing skills.
  • Ability to both work independently and in collaboration.

Nice To Haves

  • Proficiency in Chinese is considered a plus.

Responsibilities

  • Provide high-level administrative and operational support to the COO, ensuring efficient management of the executive’s schedule, communications, and strategic priorities.
  • Coordinate the President with his Executive Assistant and Chief of Staff.
  • Provide support for the Operations Manager and assist with myriad aspects of Track 2 Dialogues, Convenings and Workshops.
  • Support travel needs, confirm compliance with sanctions and working with details that make an event successful.
  • Collect monthly status reports and compile for a written update across the organization.
  • Support the development and implementing new Areas of Responsibilities (AOR).
  • Support after‑action reviews, outcome harvesting, and related monitoring, evaluation, and strategic learning activities for PAX convenings and dialogues.
  • Assist with coordinating the collection, organization, synthesis, and use of event‑related data and information, in collaboration with PAX’s strategic learning and monitoring, evaluation, and learning functions.
  • Support events and activities as needed by the Director of Partnerships and Development.
  • Perform additional responsibilities as needed.
