About The Position

Join the Department of Surgery (DOS) as a full-time Operations Coordinator and play a central role in supporting the mission, growth, and strategic priorities of a dynamic academic healthcare environment. This is an exciting opportunity for a highly organized and collaborative professional who enjoys working across operations, finance, communications, and project coordination. Partnering closely with departmental leadership in the Office of the Chair, the Operations Coordinator will help drive key initiatives, improve operational effectiveness, support high-impact projects and events, and contribute to the success of one of the institution’s leading departments. Requirements

  • Bachelor's degree from an accredited institution
  • 1 year of professional experience in an administrative, operational, or business support role in an academic, healthcare, and/or business-related environment (for Intermediate Professional level)
  • Two years of professional-level experience in an administrative, operational, or business support role in an academic, healthcare, and/or business-related environment (for Senior Professional level)
  • 3-5 years of professional-level experience in an administrative, operational, or business support role in an academic, healthcare, and/or business-related environment (for Principal Professional level)
  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.
  • Exceptional attention to detail and time management skills.
  • Proven experience applying critical thinking to tasks and calendar prioritization.
  • Ability to manage conflicting and changing priorities.

Nice To Haves

  • Experience scheduling meetings using Microsoft Outlook.
  • Experience using project management software (e.g., Smartsheet).
  • Experience managing financial transactions of an organization including preparing budgets, invoicing, reconciling, and reporting.
  • Experience in an academic healthcare system.
  • Familiarity with CU Systems (e.g., Marketplace, Concur, etc.).
  • Knowledge of CU Medicine, UCH and/or University of Colorado policies, rules and regulations, and administrative structure.

Responsibilities

  • Coordinate and support day-to-day departmental operations, strategic initiatives, and administrative activities within the Office of the Chair
  • Assist with financial and procurement processes including expense tracking, invoice coordination, purchasing, reimbursements, and budget monitoring
  • Prepare reports, dashboards, presentations, and operational summaries to support leadership decision-making and departmental priorities
  • Coordinate meetings, retreats, conferences, travel, and special events, including scheduling, logistics, vendor management, and communications
  • Monitor project timelines, operational workflows, expenditures, and key performance indicators (KPIs) to ensure successful execution of departmental initiatives
  • Maintain operational documentation, tracking systems, and reporting tools to support efficiency, organization, and business continuity
  • Collaborate with faculty, staff, university partners, and external stakeholders to support operational goals, process improvements, and organizational effectiveness
  • Support coordination and execution of departmental operational and strategic projects, including tracking deliverables, timelines, and outcomes
  • Assist with project reporting, data collection, and implementation activities that support departmental planning and continuous improvement initiatives
  • Support departmental communications, marketing, and engagement efforts through development and coordination of presentations, newsletters, reports, websites, and promotional materials
  • Partner with departmental leadership and communications staff to support branding, messaging, stakeholder engagement, and visibility initiatives across programs and events
