About The Position

Renewal by Andersen of Central Virginia is seeking an Operations Administrator to support its growing Operations Division. This role is for a detail-oriented, process-driven individual who thrives on organizing people and information to keep operations running smoothly. The Operations Administrator supports the Executive Process Manager and broader leadership team by ensuring operational systems, processes, and documentation are organized, efficient, and compliant. This role involves working across departments to audit workflows, support data tracking, and ensure smooth communication between Operations, Sales, and Accounting. The position does not involve managing people but requires managing processes, systems, and priorities with precision.

Requirements

  • Proven administrative experience in an operations or multi-department setting.
  • Strong organizational skills with high attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Clear written and verbal communication skills.
  • Ability to work independently, prioritize, and maintain confidentiality.

Nice To Haves

  • Experience with CRM/reporting tools (RForce, Qlik, or similar).
  • Administrative background in construction, service, or installation-based businesses.
  • Familiarity with Renewal by Andersen's systems and workflows.

Responsibilities

  • Execute daily administrative workflows and operational tasks.
  • Review orders to ensure compliance with documentation standards and operational requirements.
  • Maintain organization and accuracy across operational records.
  • Review, validate, and recognize revenue in accordance with company requirements.
  • Review incoming payments and coordinate bank deposits.
  • Coordinate signed certificates of completion with accounting.
  • Support revenue tracking accuracy and project reconciliation.
  • Complete project closeout activities.
  • Ensure documentation accuracy and job completion records.
  • Process cancellation notices and maintain communication documentation.
  • Coordinate SOR documentation, routing, and follow-up with accounting and internal stakeholders.
  • Manage homeowner survey distribution and response tracking.
  • Research survey exceptions and gather supporting documentation.
  • Escalate customer concerns appropriately when needed.
  • Support NPS reporting accuracy.
  • Develop training resources and administrative job aids.
  • Support SOP implementation provided by management.
  • Create process guides, flow charts, videos, and visual job aids.
