About The Position

This role provides responsible, skilled, and technical support to the Operations Department. Key responsibilities include data management, regulatory filings, inventory control, fleet management, maintenance scheduling, purchasing, customer relations, and general administrative assistance. The position will also be involved in the deployment, planning, and scheduling of a CMMS (Computerized Maintenance Management System). The role includes supervising and evaluating subordinate staff members, prioritizing and delegating work tasks, and ensuring timely completion of assignments.

Requirements

  • Minimum two-year degree in Business Administration or related field.
  • Minimum two years of experience in administrative support role for a public utility.
  • Ability to supervise/prioritize work tasks, delegate, and supervise subordinate employees.
  • Leadership skills in group settings, personnel or program management experience.
  • Possession of an appropriate driver's license valid in the State of South Carolina.
  • Ability to read, write, and complete semi-complex mathematical equations, with a thorough understanding of algebra at or above the high school level.
  • Ability to communicate clearly and precisely, both verbally and in writing.
  • Excellent organizational skills and multi-tasking abilities.
  • Self-motivated and able to work independently or as part of a team.
  • Six years' experience in office administration, procurement, and inventory functions.
  • Proficiency in Adobe and Microsoft Office software applications (PowerPoint, Word, Excel).
  • Knowledge and understanding of appropriate safety procedures and ability to respond in emergency situations.
  • Knowledge of the safe use and operation and preventive maintenance of common hand and power tools.
  • Knowledge of the safe use, operation, and preventive maintenance of the equipment to which assigned.
  • Ability to work in a warehouse environment, including climbing ladders.

Nice To Haves

  • Four-year college degree in Business Administration or another related field.
  • Prior work experience in the utility field.
  • Licensed as a D level (or higher) Water Distribution Operator by the State of South Carolina.
  • Licensed as a D level (or higher) Collection System Operator by the Water Environment Association of South Carolina.

Responsibilities

  • Supervise and evaluate subordinate staff member(s).
  • Prioritize work tasks and delegate them to ensure completion within assigned time frames.
  • Perform data management and filing support for operations, maintenance, and compliance divisions.
  • Assist in the preparation of regulatory filings, including populating spreadsheets, data collection, and mailings.
  • Perform inventory, procurement, and audit functions for all operational supplies/equipment, including inventory counts, dispensing supplies, receipt/invoice coding, obtaining quotes, and creating purchase orders.
  • Perform routine assessment of inventory to ensure spare pumps are being rotated in and out of inventory/service as required, including forklift operation and physical rotation of pump/motor shafts.
  • Oversee all fleet and major equipment activities to ensure maintenance schedules are being met, monitoring mileage, general vehicle use/wear, and assisting with the purchase of new vehicles/equipment. Assist with budgets and pricing for annual service contracts.
  • Assist in scheduling all required safety training and annual testing, including fire safety/equipment inspections, respirator fit testing, and environmental licensure renewals.
  • Assist in developing and updating maintenance schedules for all fixed assets, including planning/scheduling activities upon CMMS implementation.
  • Assist in emergency response planning and preparedness, including equipment testing and fueling.
  • Assist in updating Operation and Maintenance manuals on a quarterly basis.
  • Perform additional administrative or supervisory duties as assigned.
