About The Position

At My Virtual Academy, we believe every student deserves a path to graduation — regardless of their circumstances. As an Onboarding Specialist, you’ll be a key part of making that happen. You’ll guide students through the enrollment process, ensure their academic journeys are set up for success, and help families navigate scholarship opportunities that can change their lives. Since 1991, we’ve stood at the forefront of virtual education, offering tailored, tuition-free learning services to school districts, communities, parents, and students. We provide 100% virtual classes, round-the-clock access to learning materials, and essential tech support — including laptops, tablets, and internet access for those in need. Our personalized approach spans grades K–12, with specialized support for at-risk students and credit enrichment. We empower individuals to earn their high school diplomas on their own terms.

Requirements

  • Knowledge of FERPA and experience with student/parent communication documentation
  • Strong organizational skills — you can juggle multiple student timelines without missing a beat
  • Comfort with virtual tools: Zoom, Bamboo, and similar platforms
  • Background in virtual school enrollment, education administration, or student services
  • A proactive, team-oriented mindset and a heart for student success

Nice To Haves

  • Experience with Edmentum, Genius SIS, or Gooru (a big plus)
  • Familiarity with state compliance requirements for AZ, TN, or IN (preferred)

Responsibilities

  • Set up new students in Edmentum and schedule them to teachers and courses
  • Analyze transcripts and create Educational Development Plans (EDPs)
  • Manage the Admissions & Denial Process with clear, compassionate communication
  • Assign diagnostics, complete record requests, and support SIS data management
  • Process withdrawals and maintain accurate Gooru rostering
  • Generate report cards, progress reports, and course completions
  • Maintain the Potential Graduate List and oversee graduate processing
  • Prepare State Testing Letters, Enrollment Letters, and Legal Paperwork
  • Process work permits and support audit and compliance reporting
  • Arizona & Tennessee: Communicate with families about scholarship opportunities, track timelines, coordinate payments, and guide families through the application process
  • Attend quarterly all-staff meetings, weekly team meetings, and professional development sessions
