About The Position

The Onboarding Specialist is responsible for owning the end-to-end onboarding experience, ensuring all new hires are fully cleared, prepared, and set up for success from offer acceptance through their first week of employment. This role is highly process-driven and requires strict attention to detail, proactive communication, and full accountability for compliance, documentation, and candidate experience. This position serves as the critical bridge between recruiting and operations. Once a candidate accepts a verbal offer and recruiting documentation is complete, ownership of the new hire experience transitions fully to the Onboarding Specialist. A failed onboarding is treated with the same level of seriousness as a failed hire.

Requirements

  • Onboarding and/or HR experience and recent knowledge of ADP WFN is preferred.
  • Update candidate statuses same-day for all interactions or status changes.
  • Follows established processes without deviation. Maintains strict compliance and documentation accuracy.
  • Escalates issues early and communicates clearly with stakeholders. Maintains professionalism at all times.
  • Owns outcomes, meets deadlines, and does not deflect responsibility.
  • Works effectively with Recruiting, Talent Acquisition, and hiring managers while maintaining clear role ownership.
  • Consistently reliable, punctual, and prepared.

Nice To Haves

  • Minimum of 2 years of experience in an administrative, HR, or coordinator role.
  • Experience in transportation, logistics, or industrial environments preferred.

Responsibilities

  • Maintain complete, accurate, and up-to-date candidate and new hire records in ADP and Smartsheet.
  • Own daily coordination of all pre-employment requirements including background checks, drug screenings, reference check support, and internal documentation.
  • Monitor timelines and proactively escalate delays or issues to the Talent Acquisition Manager first, then VP, HR—without waiting to be asked.
  • Ensure no new hire begins work without all required pre-employment clearances fully completed and documented.
  • Send offer letters for hourly roles only, in coordination with the Talent Acquisition Manager, following verbal acceptance.
  • Own the full onboarding lifecycle from offer acceptance through the first week of employment.
  • Conduct structured and professional new hire onboarding sessions to ensure a consistent experience.
  • Coordinate with IT, facilities, and hiring managers to ensure all equipment, access, and workspace needs are ready by start date.
  • Follow up with new hires and hiring managers after the first week to resolve any outstanding items.
  • Maintain daily communication with candidates regarding status updates and next steps, as directed by the Talent Acquisition Manager.
  • Ensure no candidate goes more than one business day without a status update.
  • Provide accurate and timely data entry to support recruiting metrics tracked by the Talent Acquisition Manager.
  • Conduct preliminary phone screens for OPS and SS Level 1–4 roles only when: The Recruiting Partner is unavailable and The VP, HR has explicitly approved the exception. This is not a primary responsibility. When performed, all documentation standards apply (notes entered in ADP within 24 hours using defined format).
