The Office Manager role at Roach & Associates exists to alleviate the invoicing and administrative burdens currently handled by senior leadership, enabling them to focus on strategic objectives. This position supports the firm's mission by maintaining seamless office operations and ensuring a high-quality client experience, which is vital for the firm's success and growth. As a key player in the firm’s administrative backbone, you will have a direct impact on operational efficiency and client interactions.

Requirements

  • Administrative Experience: Demonstrated experience in office management and administration, including invoicing and billing tasks.
  • Client Service Skills: Strong client-facing skills with an ability to maintain professionalism under pressure.
  • Technical Proficiency: Proficient with Microsoft Office 365, Adobe PDF, and Dropbox.
  • Organizational Skills: Ability to manage multiple tasks and priorities efficiently.
  • Initiative: Self-starter attitude with the ability to work independently and propose solutions.
  • Trustworthiness: High integrity when handling confidential and financial information.
  • Flexible Communication: Comfort with situational communication outside of traditional hours when necessary.

Responsibilities

  • Invoicing and Billing Management: Oversee invoicing, billing, and payment processes to ensure accuracy and timeliness.
  • Office Administration: Manage office supplies, payroll support, and insurance renewals to ensure smooth daily operations.
  • Front Desk Coordination: Serve as the first point of contact for clients and visitors, maintaining a welcoming and professional atmosphere.
  • Conference Room Management: Coordinate scheduling, preparation, and reservations for meetings to support client and team needs.
  • Client Experience Support: Provide exceptional client-facing service, ensuring a positive and professional experience for all visitors.
  • Process Improvement: Identify and propose enhancements to existing procedures, contributing to the firm’s operational efficiency.
  • Collaboration: Work closely with IT and other team members, ensuring administrative tasks are completed effectively.
  • Confidentiality Management: Safeguard sensitive information and maintain the confidentiality of the firm’s finances.
