Stic is modernizing out-of-home advertising by using GPS-tracked vehicles as mobile media platforms. We provide brands with measurable results and drivers with passive income. Our innovative edge AI device, Stic Vision, streams analytics without requiring vehicle integration. The global out-of-home advertising market is substantial, and Stic is developing the crucial measurement layer that has historically been missing. We are looking for an individual who is proactive, highly organized, and takes pride in ensuring smooth operations and providing end-to-end support.

Requirements

  • Experience as an executive assistant, office manager, or operations coordinator, ideally with a blend of these roles.
  • Proactive nature with the ability to identify and resolve issues before they are raised.
  • Proven track record of booking and managing complex travel.
  • Exceptional organizational skills and follow-through; a dislike for loose ends.
  • Comfortable owning logistics and vendor relationships.
  • Ability to coordinate moving parts across different people and timelines.
  • Clear and concise writing skills for communicating on behalf of an executive.
  • Ability to quickly learn new tools and systems (e.g., Jira).
  • Discreet and trustworthy with sensitive information and an executive's time.
  • Willingness to work in-office and serve as a central point of contact for the team.
  • Ability to manage the inbox and calendar effectively.
  • Ability to manage office essentials, deliveries, food, vendors, and building management without escalation.

Nice To Haves

  • Experience in a startup or fast-moving environment.
  • Familiarity with Jira or similar project-tracking tools.
  • Background in physical logistics, inventory, or supply coordination.

Responsibilities

  • Manage an executive's time by handling their inbox and calendar, ensuring they only review critical items.
  • Oversee office operations, including managing supplies, deliveries, food, vendor coordination, and building maintenance.
  • Build and manage systems for physical campaign materials (stickers, decals), including organization by campaign, pickup/delivery logistics, and scheduling to prevent delays.
  • Manage all executive and sales travel arrangements from request to confirmed itinerary.
  • Document recurring tasks and processes clearly so that others can take over responsibilities.
  • Ensure office essentials are stocked and the space remains tidy.
  • Route or file items before they reach the executive, ensuring no pending approvals exceed a business day.
  • Coordinate the pickup and delivery cycle for campaign materials, including manufacturer lead times.
  • Ensure no campaign or installation is delayed due to supply or logistics gaps.
  • Ensure travel requests are confirmed within a business day and trips are not disrupted by booking errors.
