About The Position

The company has raised $60m in Series B funding to support its UK/US expansion. Orbital Copilot accelerates complex due diligence by up to 70% with legal-grade precision. As the US operations grow, the company is seeking an individual to manage the Manhattan office, provide operational oversight for the LA office, and build foundations for remote employees to ensure success and a sense of belonging. This is a hands-on, ownership-first role for someone who takes initiative, has high standards, a keen eye for detail, and experience in creating great workplaces. The role also involves providing day-to-day executive support to the CEO. The position reports to the Head of Operations and is part of the Back Office team, based in the Manhattan office five days a week.

Requirements

  • Experience in making offices and workplaces genuinely great.
  • Comfortable providing day-to-day executive support to a busy CEO.
  • High standards and a sharp eye for detail.
  • Ability to take genuine ownership and figure out what needs doing and do it.
  • Comfort with ambiguity and a fast-paced, scaleup environment.
  • Security awareness and willingness to follow security policies, complete training, and handle sensitive data with care.
  • Understanding of ISO 27001 standards.

  • Experience in ordering supplies and handling day-to-day operational details.
  • Experience in planning and executing team events, socials, All Hands, and company off-sites.

Responsibilities

  • Own the day-to-day running and standards of the New York office, including managing vendor relationships, facilities coordination, and office supplies.
  • Ensure the office environment is welcoming and functional, including stocking the fridge, arranging lunches, and maintaining office technology (AV, meeting rooms, desk booking).
  • Support onboarding and offboarding processes, including system access management.
  • Manage the CEO's calendar, travel, and logistics to ensure organization and efficiency.
  • Assist in resolving priority problems to keep operations moving smoothly.
  • Act as the operational point of contact for the Los Angeles office, ensuring it meets company standards and the team has necessary resources.
  • Manage equipment provisioning and onboarding logistics for remote US hires.
  • Support tooling and access management for the distributed team.
  • Plan and execute US team events, including socials, All Hands, and company off-sites.
  • Manage vendors and budgets for events.
  • Create feedback loops to improve the events program.
  • Ensure in-person events support business outcomes and social connection.
