Job Overview: We are seeking a highly organized and detail-oriented Part-Time Office & Employee Experience Coordinator to support the day-to-day administrative and operational needs of our office. This role is ideal for someone who likes to be in the office, enjoys variety in their work and thrives in a fast-paced environment. This role will focus on office coordination, vendor management, reporting support, and employee experience activities, while partnering with internal teams such as HR and payroll when needed.

Requirements

  • 2-5 years of experience in an administrative, office support, or coordination role
  • Strong organizational skills and attention to detail
  • Comfortable working with spreadsheets and basic reporting
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proactive and willing to take initiative

Nice To Haves

  • Exposure to office operations, a plus
  • Experience coordinating vendors or events preferred
  • Partner with HR and leadership teams to help execute employee engagement initiatives

Responsibilities

  • Coordinate daily office operations to ensure a smooth and well-functioning workplace
  • Order and manage office supplies, kitchen items, and groceries (e.g., coffee, snacks, etc.)
  • Handle deliveries and coordinate with internal teams for distribution
  • Maintain organized records, documents, and shared folders
  • Act as a point of contact for external vendors (cleaning, maintenance, printing, etc.)
  • Schedule services, track requests, and follow-up to ensure completion
  • Maintain vendor contact lists and documentation
  • Assist with basic reporting, including: Vendor accrual tracking
  • Compile and organize data from multiple sources (spreadsheets, systems, vendor inputs)
  • Ensure accuracy and timely submission of reports
  • Support administrative tasks related to expense tracking, including: Inputting approved expenses or reimbursements
  • Tracking gift cards and employee recognition items
  • Partner with internal teams (e.g., HR) to ensure information is submitted accurately
  • Assist in planning and coordinating employee events and activities on site and virtually
  • Support logistics such as vendor coordination, ordering supplies, and tracking budgets
  • Help manage employee recognition tools and initiatives
  • Coordinate Global Newsletter with cross functional teams
  • Handle communications regarding Holidays, events, etc.
  • Assist with business card orders and basic procurement processes
  • Help manage logins and access to office tools or vendor platforms
  • Take on ad hoc administrative and coordination tasks as needed
