About The Position

VIA Rail is undertaking ambitious projects to modernize its services and infrastructure, including a new train fleet and infrastructure improvements. The company is seeking a dynamic professional for an 18-month temporary full-time role as a Partner, Employee Experience, with the possibility of extension or renewal. This role involves ensuring the Employee Service Centre Team delivers effective and efficient HR services in collaboration with HR Business Centres, Expertise Centres, Employee Relations, and HR Technology teams. The goal is to achieve high customer satisfaction and quality client delivery, meeting and exceeding SLAs and KPIs. The incumbent will also act as an agent of change, contributing to improvement projects and implementing new solutions and approaches to build excellent working relationships with Business Leaders, HR Teams, employees, and key stakeholders.

Requirements

  • Bachelor’s degree required.
  • Minimum of 2 to 3 years of experience in Shared Services or HR Shared Services delivery model.
  • Bilingualism (English and French), both spoken and written.
  • Advanced proficiency in Excel, PowerPoint and Word.
  • Experience using an HRMIS, Case Management, and other HR systems.
  • Mathematical, statistical and writing skills.
  • Good analytical and synthesis skills.
  • Rigour, attention to detail and respect for confidentiality.
  • Very good interpersonal and communication skills to collaborate with team members and develop trust relationships.
  • Demonstrated ability to prioritize multiple roles and manage time effectively.

Nice To Haves

  • A diploma in industrial relations, human resources, or administration is considered a strong asset.
  • Experience with VIP (DLGL) and ServiceNow is an asset.

Responsibilities

  • Provide professional advisory and administrative service to business colleagues on a range of HR queries and processes (HR Policy, Group Insurance, Retirement, Recruitment), including case management, correspondence production, and monitoring reports and documentation.
  • Make thoughtful decisions and demonstrate initiative in handling issues, collaborating with Expertise Centre, Business Partners, and Work Relations on complex matters.
  • Work with the Payroll team on HR process areas, advising on policy/service impacts of proposed changes and ensuring compliance with delivery standards.
  • Administer and monitor the HR cycle in collaboration with the Expertise Centre and Business Partners (salary reviews, variable compensation, engagement surveys, recognition, retirement statements, year-end activities).
  • Liaise with service providers and follow up on requests and outsourced work (insurers, pension administrators, survey providers, actuaries, consultants).
  • Lead onboarding sessions for new employees and managers.
  • Act as a resource person for HR team members and Payroll department on HR policies and processes.
  • Identify and support the rollout of continuous improvement initiatives in processes and systems.
  • Contribute to improvement projects, implement new solutions and tools, and analyze initiatives related to HR processes, procedures, and policies.
  • Oversee data governance in the VIP system.
  • Support the Work Relations Team in preparing for collective agreement negotiations by providing data and reports.
  • Contribute to the optimization of various HR processes.
  • Adopt a proactive and collaborative approach with HR colleagues and stakeholders for timely and professional delivery.
  • Contribute to sector projects and initiatives.
