About The Position

The Office Coordinator will oversee the general management function and activities of the New York office. This position requires strong organizational skills and the ability to perform and prioritize tasks with limited supervision. Reports to the Office Manager or his/her designee. Full-time role with onsite presence within the office. Occasional evening and weekend coverage may be needed.

Requirements

  • High school diploma or equivalent required; associate degree in office administration or related field preferred.
  • At least two years of administrative or clerical experience experienced.
  • Time management skills with a proven ability to meet deadlines.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong supervisory and leadership skills.
  • Ability to function well in a high-paced and at times stressful environment.
  • Demonstrated time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Responsibilities

  • Facilitates the smooth functioning of office environment serving staff and many visitors along with staffing front desk.
  • Facilitates the purchasing and maintenance of office equipment, office supplies and any capital improvements for the office.
  • Develop and maintain optimum vendor relationships.
  • Liaison with Building Management and national facilities functions.
  • Facilitates telephone services, email correspondence, and mail distribution.
  • Responsible for the execution of many meetings (internal, in- person and virtual) and special events held on and offsite including location, catering, set up.
  • Works with leadership, Finance and Contracts department to manage select financial activities, including accounts payable, expense reports, contracts, gift (donation) as well as sponsorship processing and petty cash function in accordance with organizational policies and established internal controls.
  • Manage vendor contracts that relate to office services, events, and the facilities management budget.
  • Coordinate hiring processes and manage basics of onboarding employees and wrap up processes for departing staff.
  • Maintains office records, documentation files, particularly more complex and sensitive files.
  • Implements an efficient system for other staff to access files and records.
  • Performs or facilitates the upkeep and appearance of the office.
  • Performs other duties as assigned.
