About The Position

The Department of Corrections (IDOC) is seeking to hire an Office Associate to perform sentence calculations, manage Earned Program Sentence Credits and Earned Discretionary Sentence Credits. This role involves preparing, distributing, and maintaining correspondence, memorandums, logs, and informational packets. The position requires reviewing individual in-custody disciplinary results and inputting them into O360, composing and keyboarding correspondence to outside entities, maintaining master files, reviewing subpoenas, processing the release of clinical records, and answering phone calls for the Record Office. This position is ideal for individuals who are detail-oriented and can effectively multi-task.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of high school.
  • Requires two (2) years of office experience.
  • Requires ability to keyboard accurately 45 words per minute.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Responsibilities

  • Performs complex sentence calculations for revocation and/or restoration of Good Conduct Credits, Earned Program Sentence Credits and Earned Discretionary Sentence Credits as required by administrative directives.
  • Prepares, distributes, and maintains correspondence, memorandums, logs and informational packets.
  • Reviews individuals in custody disciplinary results and inputs into O360 as indicated by the Adjustment Committee.
  • Composes and keyboards correspondence to outside agencies.
  • Maintains individuals in custody master files ensuring filing is accurate/timely.
  • Reviews subpoenas and processes the release of clinical records pursuant to applicable directives.
  • Answers phone calls received in the Record Office.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
