About The Position

Employees in this position provide general clerical functions in the Aging & Disability Resource Center (ADRC) section of Human Services. Work is performed in an office setting and involves reception and computer work along with other duties as assigned. Employees are selected and supervised by an ADRC Supervisor and/or Manager and work under moderate supervision.

Requirements

  • Considerable knowledge of up-to-date office methods and procedures.
  • Ability to operate general office equipment such as computers and multifunction printers.
  • Ability to work well with the public and able to establish positive working relationship with all internal and external partners.
  • Ability to use independent judgment in carrying out assigned tasks.
  • Ability to follow oral and written instructions.
  • Ability to work with confidential records and keep confidentiality.
  • Ability to work under moderate supervision.
  • Good grammatical, spelling and punctuation skill.
  • Graduation from an accredited high school or GED, with training in business courses such as typing/keyboarding, computers, and office practices.
  • Minimum of one year of general office experience with proven strong word processing, data entry and organization skills.
  • May consider other relevant combinations of training and experience.

Nice To Haves

  • Strong preference for individuals with advanced clerical training at a technical school.
  • Strong preference for receptionist experience in a busy office whose client population consist of older adults and/or individuals with disabilities and their caregivers.

Responsibilities

  • Performs a variety of general clerical functions.
  • Performs receptionist duties: answers telephone; takes messages; greets and assists walk-in clients; handles routine inquiries and refers clients/callers to appropriate personnel.
  • Receives and distributes incoming mail.
  • Maintains registration for various ADRC events.
  • Completes data entry and runs reports from State databases.
  • Maintains a variety of ADRC files and packets.
  • Maintains organization of ADRC lobby including opening and closing practices, maintaining brochure racks, ordering materials as required, and maintaining supplies for interview rooms.
  • Uses various office machines in the performance of duties such as computers, telephones, copiers, and printers.
  • Maintains strict confidentiality of work-related information.
  • Completes required documentation (timesheets, time studies, reports, client and program documentation, etc.) in a timely manner.
  • Assists in tracking the completion of such documentation for the section.
  • In this public service position, employee is required to be courteous, cooperative and respectful at all times, with the public and clients.
  • Also establishes and maintains a courteous, cooperative and respectful working relationship with other employees, supervisors and public officials.
  • Employee is expected to report to work when scheduled, with minimum use of sick leave, to build up sick leave balance for income protection for unexpected illness.
  • May be required to work nights, weekends, or during community emergencies and/or disasters, when work may vary from normal job responsibilities.
  • Assists other department and section staff as necessary or required.
