About The Position

This position is offered through the support of the Government of Canada-Canada Summer Jobs Program. All applicants must meet the minimum requirements of that program. The Office Assistant – Summer/Co-op Student provides support to the Human Resources Department by performing administrative duties and manages the personnel filing system including; filing, tracking files, and archiving. This role contributes to the effective delivery of human resource services. This position offers a great opportunity to develop administrative skills in a collaborative, professional environment.

Requirements

  • Must be between 16 and 30 years of age (inclusive) at the start of employment.
  • Was registered as a full-time student during the preceding academic year.
  • Intends to return to school on a full-time basis during the next academic year.
  • Is a student in post-secondary, vocational, or technical program.
  • Is a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act.
  • Is legally entitled to work according to the relevant provincial / territorial legislation and regulations.
  • Certificate or diploma in human resources, business administration, office administration or a related field of study.
  • Minimum one (1) year of experience working in an office environment.
  • Experience working on computers with software packages including; Excel, Word, and Outlook.
  • Experience working with various databases.
  • Ability to complete tasks independently and in a team environment.
  • Strong interpersonal skills with the ability to form professional working alliances.
  • Strong written and oral communication skills.
  • Ability to adapt to new situations.
  • Effective time management and organizational skills with the ability to prioritize.
  • High attention to detail.
  • Strong problem solving and decision-making skills.
  • Emotionally intelligent, self-aware, and open to continuous learning.
  • Proficient in computer systems and office software.

Responsibilities

  • Manage external and internal service queries.
  • Process incoming and outgoing mail.
  • Assist the Human Resources Generalist in the recruitment and onboarding processes.
  • Assist the Human Resources Generalist in data analysis and reporting.
  • Enter and update employee information in HRIS and other applicable database.
  • Manage personnel filing system including filing, tracking files and archiving.
  • Perform other related duties as assigned.
  • Model agency values and ensure policy compliance.
  • Ensure policies, procedures and agency standards are met.
  • Seek to improve processes and enhance services and efficiencies within the department and across the agency.
  • Participate in the implementation of HR initiatives and ensure assigned projects are delivered within proposed timeframes and budgets.
  • Maintain, promote, and reinforce safe work habits, practices, and procedures.
  • Adhere to written or verbal agency and government regulations, policies, practices, and instructions.
