About The Position

This is a full-time, permanent Office Assistant (OA3) position within the Community Corrections Division, specifically working for the Parenting Sentencing Alternative (PSA) program. The role is located at DOC Headquarters in Tumwater, WA. Under general supervision, the position performs file management and advanced clerical support tasks for the PSA Program Supervisor and the PSA unit. The employee will work independently on complex clerical projects, respond to inquiries requiring substantive knowledge of office policies and procedures, and contribute to an equitable and inclusive culture focused on public service and excellence.

Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical experience that required keyboarding or typing.
  • Knowledge of Microsoft Word, Outlook, and Excel.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to effectively communicate verbally and in writing with coworkers, the public, and criminal justice agencies/stakeholders.
  • Ability to proofread written materials and identify and correct errors in sentence structure, grammar, punctuation, and spelling.
  • Ability to navigate the internet for DOC and offender related information.

Responsibilities

  • Provide direct clerical/secretarial support to the PSA Program Supervisor.
  • Perform confidential day-to-day duties such as composing and transcribing correspondence, meeting minutes, agendas, and confidential documents.
  • Assist with and/or manage project work.
  • Manage a variety of scheduling.
  • Manage and maintain electronic and physical files.
  • Perform database entry and retrieval from various systems (OMNI, WACIC, LINX, Report Wizard, OnBase).
  • Manage and archive files.
  • Support unit operations and perform other duties as assigned or requested.
